Maximum Hiring Annual Salary:
$54,159.00
To attain the maximum annual salary, employee must meet all minimum qualifications plus:
- 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.
The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.

Job Description:

This position exists to provide in person, electronic, and phone customer service, records management, full life cycle support for part time employees, and administrative support for the functions of the Human Resource department, including, but not limited to: new employee processing; HRIS system (Workday) data entry, integrity and maintenance; background checks; form I-9 generation; and administration of part-time employee benefits. This position plays in integral role in interpretation of policy, procedure and State/Federal law relative to benefits administration and utilization such as insurance and any other matter that arises as a result of being an employee at the College.
Customer Service:
- Assist with departmental front desk support functions to include, but not limited to, respond to customer inquiries by assessing need and providing service (i.e. forms needed to process customer request, referring customer to appropriate HR representative or other College agent, reviewing documents submitted by customer and processing them as appropriate, etc.)
- This position serves as the gatekeeper to all other specific functions within the HR department (i.e. Benefits, Classification/Compensation, Recruitment, the Chief Human Resources Officer and Director of HR). In that capacity, the incumbent is responsible for fielding telephone calls and directing them to the appropriate person within the department.
- First contact for internal and external customers.
- Provide responses to both intra and interdepartmental inquiries and/or requests for information utilizing various systems including but not limited to, Workday, Legacy System, HireRight, etc.
- Generate ad hoc reports and/or performing manual data compilation; ensuring data integrity prior to disseminating information.
Employment Administration:
- Create and/or assist hiring manager with job requisitions for part time positions.
- Provide new hire process communication to selected candidates.
- Perform data entry into a large integrated database system (Workday).
- Accurately enter hires into HRIS ensuring data quality standards are met. Accurately enter information for hires that come through recruiting in HRIS; including but not limited to, compensation information, review of offer, position information, and hire information, etc.
- Work closely with payroll to ensure processing deadlines.
- Work closely with Compensation Analyst for all part-time related compensation functions (i.e.: Part-Time job classification recommendations)
- Process Form I-9 and complete E-verify; process all pre-employment screenings (backgrounds, drug screens, MVR's, etc..)
- Assist with updating, scanning, managing, and filing of personnel files and/or electronic files.
- Act as vendor liaison with temp staffing agencies.
Data Entry:
- Access HRIS system to retrieve data; verification of data; obtain release of information; secure and provide confidential information; research and provide recommendations for policy/practice enhancements; complete forms and/or provide copies of documentation, in a timely fashion and in a professional manner, while maintaining confidentiality.
- Maintenance of HRIS including any hard copy or electronic files.
- Establish and maintain systematic record retention program (i.e. standard schedule for file archival- paper I-9’s, termed employees, etc.)
- Complete business process testing of HRIS system.
Documentation on Processes & Other Duties as Assigned:
- Maintain “Human Resource Specialist Resource Guide” for designated functions; update resource guide as necessary; generate written clarification and replace documented information as necessary.
- Maintain HRIS training job aids for designated functions.
