GENERAL POSITION SUMMARY:
The Human Resource Associate involves a wide range of supportive activities inside the HR department such as performing administrative tasks and services to support effective and efficient operations of the Human Resource Team. The HR Associate will also function as liaison between HR, managers, and employees to ensure smooth communication and prompt resolution of new hire eligibility, and other requests. They will perform daily tasks that are essential to the HR department including clerical and administrative support to the team and compiling and updating employee records (electronic, hard, and soft copies). They will also assist with the creating of processes, documents, and demographic reports.
ESSENTIAL FUNCTIONS:

  • Provide assistance to managers in recruitment, interviewing and hiring as needed.
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Initiate new hire onboarding, create, update, and maintain employee records. Issue employee identification badge. Process employee background checks. Set up employee files. Assist employees with employee access in logging their timecard.
  • Work with IT to assist new employee account creation. Connect with new hires and ensure accurate completion of required onboarding documents including, but not limited to agreements, i9s, W-4s, etc.
  • Research VISA and employee documentation to determine work eligibility.
  • Provide and assist in implementation and training in the Paylocity system (HRIS).
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate level HR staff or management.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Collaborate with other HR Team including benefits, compensation associate, training coordinator, and Administration Team.
  • Process payroll action changes in the system. Assist with payroll functions including calculating, processing, approving, and correcting processing errors, and answering employee inquiries.
  • Conducts and/or assists with new hire orientation.
  • Assists with planning and execution of dedicated events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Coordinate HR projects (meetings, trainings, surveys, etc.) and take minutes.
  • Performs other duties and assists on special projects as assigned.

Requirements
JOB SPECIFIC QUALIFICATIONS:
  • Excellent organizational ability with attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Excellent reporting, research, and time management skills.
  • Excellent communication and interpersonal skills with the ability to manage urgent and sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications. Also, basic knowledge of labor laws.

Education: Associate degree (3)
Experience: 1-2 years of experience is required (3)
Computers: All positions at IRCO require use of a computer and experience working with Microsoft Products including but not limited to Microsoft 365, Excel, Word, Outlook, and PowerPoint.

Positions at this (Lead) level are responsible for daily work provided to staff/volunteers in similar job functions at comparable or subordinate levels. Positions are not responsible for hiring, firing, disciplinary actions, etc. (2)

This level has a work environment that is usually well protected, free from hazards or obstacles. There is little element of personal risk or hazard. Job conditions are usually comfortable, with only occasional issues, temperature change (2)

The work schedule occasionally fluctuates based on organization or customer needs. This fluctuation may occur with or without prior notice. (3)
Salary Description
Starts at $48,600 per year
