Human Resources Generalist

Summary:

As a member of the Darwin Global corporate staff, the Human Resources Generalist applies knowledge and understanding of and experience applying employment laws and regulations to support the HUMAN RESOURCES function, including, but not limited to, recruiting, hiring, termination, benefits programs, policies and procedures, reporting requirements, records management, administrative tasks, providing outreach and training, and acting with integrity, professionalism, and confidentiality.

Duties and ResponsibilitiesEssential Functions

To perform this job successfully, an individual must be able to perform each essential function satisfactorily, including the following essential duties and responsibilities. Core Essential Functions

  1. Sets the standard as a role model in professional, confidential, and ethical behavior.
  2. Maintains up-to-date knowledge of employment laws and regulations pertaining to all HR matters; advises corporate management of pending or implemented changes that impact company personnel operations; ensures labor law posters are properly posted online and in all company facilities and are up-to-date; and ensures other timely employee notifications as required.
  3. In accordance with policies and procedures, performs assigned tasks associated with the recruiting and hiring process not limited to job descriptions, postings, screenings, offers, orientations, and onboarding and offboarding processes.
  4. Performs processes and procedures in Paycom, not limited to applicant tracking, position management, onboarding, offboarding, Personnel Action Forms, Performance Discussions, and document and task management.
  5. Creates, updates, and maintains written Human Resources procedures as required.
  6. Works directly and proactively with managers and supervisors to assist them in carrying out their responsibilities in HR matters.
  7. Recommends modifications to handbooks and policies and procedures.
  8. Interprets and explains handbooks, policies and procedures, laws, standards, or regulations to managers and employees.
  9. Prepares department records and reports in appropriate media; files records and reports in an orderly filing system; and ensures that such records remain confidential.
  10. Prepares the HR document retention program and when approved, implements and maintains the program.
  11. Prepares and presents or makes available employee training, seminars, and orientations, as required, including initial and annual refresher training needed for compliance, such as harassment training, in accordance with requirements in policies and procedures, handbooks, and other policy statements.
  12. Assists Hiring Managers in performing a background check, if required, preparing Consulting Retainer Agreements (CRAs), obtaining approvals, acquiring electronic signatures, and distributing fully executed CRAs.
  13. Plans, develops, and manages periodic communication with employees using newsletters, blogs, social media, or other means.
  14. Performs other administrative tasks, such as employment verification, benefits program qualifying events, and unemployment.
  15. Performs any and all other duties, as assigned.
Essential Functions When Assigned
  1. In accordance with policies and procedures, performs tasks associated with the company benefits program not limited to enrollment, claims resolution, change reporting, employee notification requirements and disability claims.
  2. Updates or revises handbooks and policies and procedures according to approved changes; distributes updated/revised handbooks and policies and procedures; and provides training as required.
  3. Analyzes trends in compensation, researches and proposes competitive base and incentive pay programs to ensure the organization attracts and retains top talent, and makes recommendations to direct supervisor and corporate management.
  4. Develops and maintains records, reports, and logs to conform to Equal Employment Opportunity (EEO) and VETS regulations; submits the annual EEO-1 and VETS report; develops and maintains the company affirmative action program and submits all reports as required.
  5. Implements and manages the counseling and discipline program in accordance with policies and procedures; trains or provides guidance on the program; and assists managers and supervisors in resolving employee performance issues as they arise, including counseling employees

Non-Essential Functions

This job has the following non-essential duties and responsibilities.  Other non-essential duties or responsibilities may be assigned.

  1. Identifies and, when approved, implements technology solutions that support achievement of organizational strategies, goals, and objectives.
  2. Identifies, develops, and implements other special projects to increase employee participation in company programs.
  3. Assists Site Managers in developing, implementing, and maintaining a Safety and Security Plan and other facility-related plans as required.
  4. Performs any and all other duties, as assigned.
Supervision Duties

This job does not have supervisory responsibilities. The supervisor of the Human Resources Generalist makes assignments in terms of broad practice, precedents, policies, and goals. The supervisor may review work for fulfillment of program objectives and conformance with department, division, or company policy and practice.

Knowledge:

Performing the essential functions of this job requires knowledge of:

  • Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.

Ability to make effective and persuasive speeches and presentations on controversial or complex topics to top management, public groups, or employees.

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Computer Skills:

This job requires the use of spreadsheets, Internet, navigation of the Internet and files, word processing, and databases. To perform this job successfully, the successful candidate must have:

  • Excellent skills required upon hire using Microsoft Word and Excel.
  • Skills desired upon hire using an HRIS program, preferably Paycom, Adobe Acrobat Pro or similar, E-verify, networked telephone system, printers, copiers, fax machines, and scanners.
  • Lacking skills desired, the employee must have the ability to achieve the skills required.
Equipment:

To perform this job successfully, an employee must have proficient skills and knowledge of PC Workstations and Microsoft Windows.

Education/Experience RequirementsEducation/Experience
  • Associate’s in HR-related program (HR Specialist; Business: HR Management; HR Administration) and 3 years in an HR role, or
  • Associate’s in non-HR-related program and 4 years in an HR role, or
  • Bachelor’s degree in HR-related program (Human Resources Management; Management with concentration in HR; Business Administration with a concentration in HRM; Business Administration with an emphasis in HR) and 1 year in HR role, or
  • Bachelor’s degree in non-HR-related program and 2 years in HR role

Preferred experience in an HR role includes Talent Acquisition, Employee Engagement and Retention, Employee Relations, Technology Management (use of existing, new, and emerging technologies to support the HR function), U.S. Employment Laws and Regulations.

Desired experience in an HR role includes California Employment Laws and Regulations.

Certificates and Licenses

The SHRM Certified Professional (SHRM-CP) certification is desired.

Specific vision abilities required by this job include close vision (20 inches or less), and color vision (the ability to identify and distinguish colors).
