Human Resources Coordinator (Remote – Pittsburgh, PA)
Job Summary:
The Human Resources (HR) Coordinator will support all facets of the employee life cycle (onboarding, HR compliance, and offboarding). This position will also provide a variety of administrative support to the KAP HR team and agencies. The overall goal of the position is to assist in the efficient operations of the Human Resources facet of the organization.
Responsibilities:
- Communicate and respond to inquiries with a sense of urgency from current and new employees.
- Coordinate the onboarding of employees.
- Enter and maintain data of new hires and employees in the HRIS, as needed.
- Ensure I-9 compliance.
- Ensure all required documents are received for personnel files. Audit and maintain personnel files as needed.
- Process personnel data changes in the HRIS.
- Handle the pre-onboarding, on-boarding, and off-boarding processes.
- Monitor the HR mailbox and assign messages to HR team as necessary.
- Generate HR reports as requested.
- Complete other projects and routine work as necessary to support the business.
- Stay updated with HR best practices, employment laws, and industry trends to ensure compliance and recommend process improvements.
- Perform other duties as assigned.
- Associate’s Degree, or equivalent experience (Bachelor’s Degree preferred with work experience through an internship)
- 2-4 years of related Human Resources experience
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and experience with HR software systems
- Strong organizational and administrative skills, with attention to detail and accuracy in HR record keeping and documentation
- Excellent communication both in written form (email and document writing) and verbal
- Exceptional interpersonal skills, with the ability to interact effectively with employees at all levels
- Ability to handle confidential information with discretion and maintain a high level of confidentiality
- Ability to prioritize work to meet expected and routine deadlines in a fast-paced business environment without oversight
- Capacity to build and maintain relationships with both internal team members and agency personnel, including strong team player skills
- Strong organizational and detail-oriented traits
- Self-motivated, self-starting, with a positive attitude open to flexibility and learning in the role
- Professional demeanor and ability to maintain confidentiality
- Bachelor’s Degree in Human Resources, Business Organization Development, or a related field; Human Resources Certification preferred (PHR)
