This position is responsible for coordinating and assisting with a variety of HR activities and administrative duties. The role interfaces with all levels of internal and external stakeholders and approaches deliverables with a customer focus and team approach.
Primary Job Responsibilities:
- Gather and file personnel records appropriately.
- Code and prepare department invoices for processing.
- Draft and edit department communications and presentations.
- Administer tuition reimbursement program.
- Assist in developing and maintaining internal processes documents.
- Monitor and respond to employee requests through HR email inbox and serve as first point of contact to employees for general HR-related questions.
- Maintain and update HR intranet with accurate information.
- Assist with HR administration, special projects, data validation, and auditing, including following up with employees.
- Support talent and compliance functions as needed.
- Administer companywide drug screening program and driver eligibility program.
- Coordinate meetings, events, and activities and serve as liaison for events.
- Assist with recruiting coordination process and contractor tracking as needed.
- Help coordinate, schedule, and track HR-related training.
- Maintain current organizational charts.
- Provide administrative support to the HR department.
- Handle ingoing and outgoing department mail.
Knowledge/Skills/Competencies
- Advanced proficiency with Microsoft Office Power Point, Word and Outlook.

Education & Experience:
- High School diploma or equivalent required.
- Experience in Human Resources or as an administrative assistant preferred.
- Experience with Applicant Tracking and Learning Management Systems preferred.
Travel Requirements:
- Willingness and ability to travel within the other office locations and events on a regular cadence and as needed up to 3 times per month.
- Work is performed at a CIVI location Tues-Thurs with an option to work remotely Mondays and Fridays.
- Schedule: traditional 40-hour workweek or alternative schedule of 9 hour works days M-Thurs and 4-hour workdays Friday.
