Primary Function
Under general supervision and assistance from external Human Resource team, the Human Resources Assistant will support the HR Department in various HR tasks focused on recruitment activities, including phone screening, resume review, job posting, as well as assisting in onboarding and offboarding processes. Additionally, the role involves handling administrative tasks to ensure the overall HR function will operate efficiently and effectively.
KEY ROLES (Essential Job Responsibilities)
Recruitment Support:
- Work closely with partners and the community to understand staffing needs to recruit potential staff and volunteers.
- Assist in drafting accurate job descriptions.
- Responsible for posting job openings on relevant job boards.
- Monitor and update job postings to attract a diverse pool of candidates.
- Review resumes and applications to shortlist qualified candidates.
- Conduct initial phone screenings to assess the candidate’s suitability.
- Assist in organizing and scheduling interviews and meetings for candidates and employees.
- Maintain and ensure Applicant Tracking System is updated.
- Assist in drafting offer letters for candidates.
Onboarding and Offboarding:
- Coordinate and facilitate the onboarding process for new hires (
- Background checks, live scans, TB tests, orientation, employment pre-requisites and mandated compliance.
- Coordinate the collection of employment paperwork and data entry into the Paylocity system.
- Manage offboarding procedures, including exit interviews and documentation.
- Coordinate with payroll to ensure final pay will be ready for departing employees.
- May work closely with IT for onboarding and off-boarding tasks.
Administrative Tasks:
- Handle HR-related inquiries, leveraging HR tools and provide assistance to employees working with HR team
- Prepare correspondence, submitting confidential information, draft memos, and create reports as needed.
- Assist in monitoring employee compliance with required trainings and certifications.
- Help with updates of Standard Operating Procedures (SOP) for all departments.
- Provide support for special and voluntary staff events, promoting a positive organizational culture.
- Reviews a variety of forms and records for accuracy, completeness, and compliance, including HR files.
- May coordinate logistics for meetings and trainings pertaining to staff and volunteers.
- May assist with Payroll data entry and reports as needed
- Support general administrative tasks and any and all other assigned responsibilities.
RELATIONSHIPS:
Internal: Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/ instructions; instruct; and advise/counsel.
External: Maintains contact with external HR team, community groups, schools, and others to assist in resolving problems.
Requirements:
SKILLS/KNOWLEDGE REQUIRED:
- Field of Study/Experience: Human Resources with 1 or 2 years' experience preferred.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Proficient in using HR software and Microsoft Office Suite.
- Ability to handle sensitive and confidential information with discretion.
- Formal computer training an advantage.
- Ability to deal with the general public and work under pressure.
- Will have Data Entry skills.
- Keen ability to multitask and work within tight deadlines.
- Ability to work independently.
- Attention to detail and thoroughness.
- Analytical and results driven.
- Problem solving and decision-making skills.
- Mandatory CPR and First Aid Certifications and TB clearance
- Valid State Driver’s License
- Must be fully vaccinated.
Environment and Working Conditions
Tasks are regularly performed with moderate exposure to environmental conditions such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, and temperature and noise extremes.
Physical and Mental Requirements
Tasks involve the ability to exert very moderate physical effort in light work, typically involving some combination of standing for long periods of time, stooping, kneeling, crouching and crawling, and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight.
