1 - Human Resources Assistant position for 8 hours/day, 12 months
This eligibility list will be valid for one year and will be used to fill any future vacancies during the time this list is active.
SUMMARY OF DUTIES
Under the direction of an assigned administrator in the Human Resources department, performs a wide variety of technical clerical duties related to certificated or classified Human Resources; contacts substitutes and processes paper flow; maintains records and files and prepares reports; and performs a variety of other duties relative to assigned area of responsibility.
Examples of Duties
• Performs a variety of technical clerical duties related to the recruitment and employment process for District certificated or classified personnel; maintains confidentiality of a variety of sensitive information;
• Provides assistance and information to District employees and the public regarding District and department regulations, policies, and procedures.
• Contacts and assigns appropriately qualified substitutes or temporary certificated, classified, and exempt employees;
• Greets visitors to the Human Resources Office; provides information regarding current job openings, uniform complaint procedures, department policies, etc.; assists current and prospective employees in completing applications and other forms and documents; directs visitors to other offices as appropriate;
• Receives, initiates, and screens telephone calls; takes messages as appropriate; routes calls to other employees and departments as needed;
• Prepares a wide variety of materials including lists, reports, agendas, forms, requisitions, correspondence, bulletins, notices, teacher contracts, and employment verifications;
• Receives and processes employment applications, employment verifications, and absence affidavits;
• Prepares testing materials, schedules candidate interviews, proctors examinations, and scores test materials as directed; for positions with bilingual designations, administers oral bilingual examination parts as needed;
• Communicates with universities, other school districts, the County Office of Education, and private and public sector employers to verify transcripts, credentials, and previous employment; coordinates personnel information with other department office staff and administrators;
• Inputs and maintains a variety of personnel records including, but not limited to, attendance, retirement, termination, credentials, leaves of absence, professional growth, payroll, fingerprint clearances, TB clearances, promotions, transfers, and resignations; notifies employees of documentation in need of updating;
• Processes and provides orientation to employment candidates selected for hire and volunteers; administers the fingerprinting process; assists new employees and volunteers in the completion of new hire paperwork and ensures the completeness of documents submitted;
• Performs a variety of clerical duties including, but not limited to, filing, data entry, duplicating materials, date stamping and logging documents received, and open and routing mail;
• Requisitions, receives, stores, and distributes office supplies and materials.
Other Related Duties
• For positions with bilingual designations, translates a variety of written materials from English to a designated second language and from that language into English; ; interprets and facilitates communication between staff and non-English speaking members of the public; attends various meetings to translate and interpret as needed;
• May screen employment applications as directed;
• May attend meetings and take minutes as required;
• May review, correct, process and verify timecards for temporary employees for proper payment and forward to Payroll;
• Attends training sessions, seminars, and networking events in order to stay up to date on trends and information related to the Human Resources field;
• Performs related duties and responsibilities as required.
Employment Standards
Education: Graduation from high school or equivalency. Training or coursework in Human Resources or public administration is desirable.
Experience: Two years of clerical experience; one year of Human Resources experience is desirable.
Special: A valid, California Class C, driver's license may be required, and if so, must be maintained during the course of employment.
Ability to be insured, and continue to be insurable, by the District's liability insurance carrier.
Physical Requirements: Employees in this classification stand, walk, sit, stoop/bend, reach overhead, lift and carry up to 20 lbs., use fingers repetitively, use both hands simultaneously, speak clearly, hear normal conversation, and see small details.
Supplemental Information
This is a Dual Certificationrecruitment: Candidates who attain a passing score on each examination part will be placed in rank order on an eligibility list after promotional credits are added to the composite test scores of promotional candidates. These examinations are open to permanent employees and the public.
