Position Overview:
Reporting to the Vice President of Human Resources and Talent (VPHRT) the Human Resources (HR) Assistant is responsible for providing process and transactional support for HR systems and processes to ensure the efficient operation of the Human Resources (HR) Department. This role will act as liaison between HR and other departments, administering daily functions including recruitment, onboarding, and management of employee files.
The successful candidate will have excellent communication skills, business acumen, exemplary work ethic, be driven, organized, self-motivated and problem solver. Ability to cross cultural boundaries to build and maintain strong working relationships is a plus.
Essential Functions:
- Facilitates the hiring of qualified job applicants by administering phases of the recruitment process including planning, posting, sourcing, screening, and interviewing.
- Supports in scheduling interviews, preparation of interview questions and other hiring and selection materials.
- Conducts or acquires background checks and employee eligibility verifications.
- Provide exceptional customer service support to internal and external customers.
- Communicates company and position details to new hires prior to their start date and gathers necessary documentation including Form I-9, tax forms, direct deposit, etc.
- Collaborate with departments in the administration of the onboarding program.
- Conduct HR orientation for new employees; onboard new employees in a welcoming way, ensuring new hires receive timely and accurate instruction regarding their employment and benefits.
- Assist the VPHRT with implementation of employee engagement.
- Maintains and reviews records of training and development activities, attendance, and assessment results. Documents and ensures compliance with mandatory and non-mandatory training requirements.
- Support data entry and review of related business processes.
- Organize, maintain and update employee records both physical and digital.
- Responsible for monitoring various HR inboxes and respond or escalate appropriately.
- Assist the VPHRT with cataloging IT inventory and the purchase of equipment.
- Other administrative or project duties as assigned.
