JOB SUMMARY:

Under the supervision of the Human Resources Manager, the Human Resources Assistant manages personnel records, prepares information for audits of personnel records and policies, and provides support in all aspects of Human Resources

ESSENTIAL JOB FUNCTIONS:

1. Provides support for all HR functions including ADP, recruitment, new employee orientation, employee counseling, training, and terminations.

2. Manages personnel files and creates other personnel-related forms and procedures for smooth implementation.

3. Processes employment verification requests.

4. Welcomes new employees and performs onboarding functions.

5. Assists in the recruitment process, including job posting, employment testing, interview scheduling, rejection notification, and any necessary follow-up as needed.

6. Maintains credentialing files and credentialing database with all necessary documentation with attention to accuracy and completeness, and disseminates information to Billing, Administration, and Clinic as appropriate.

7. Assists with processing terminations and collection of agency property.

8. Prepares correspondence and generates reports as needed.

9. Assists with processing employee medical, dental, and all other benefits as well as preparation of monthly invoices for payment.

GENERAL AGENCY/AHS DUTIES:

1. Fosters an environment that promotes trust and cooperation among clients and staff.

2. Enforces clinic policies and procedures, including maintenance of client confidentiality under HIPAA privacy rules, to ensure that the principles of AHS are implemented.

3. Plays an active role in planning organization-wide activities such as AHS general membership meetings, fundraisers, special clinic days, and other events.

4. Participates in general membership meetings, fundraisers, and other public events, as required.

5. Participates in outreach activities, agency advocacy, and serves on ad hoc committees, as requested.

6. Attends AHS staff retreats and Board of Directors meetings, as required.

7. Participates in agency-wide quality improvement program processes and performance improvement teams to ensure excellence in the quality of services provided across the agency.

MINIMUM QUALIFICATIONS:

1. College degree and at least one-year administrative experience in an office environment or equivalent combination of education and experience

PREFERRED QUALIFICATIONS:

1. Demonstrated commitment to community work

2. Familiarity with any Asian culture or community

3. Experience in a multicultural/multiethnic work environment, preferably related to healthcare

4. Knowledge of state and federal laws about all aspects of employment particularly in recruitment and hiring, benefits, and terminations.

KNOWLEDGE, SKILLS, AND ABILITIES:

1. Proficient in MS Word, Excel, Outlook, database management, and administrative systems (e.g. ADP and Practice Management) and procedures.

2. Versed in office practices; knowledge of personnel systems and employment rules and regulations.

3. Willingness to learn new AHS Human Resources software.

4. Excellent interpersonal and verbal and written communication skills.

5. Creative problem solving involving the interpretation of policy and spreadsheet analysis.

6. Maturity and discretion in handling confidential and restricted information.

7. Able to work independently as well as a member of a team.
