Under the supervision of the Human Resources Manager, the Human Resources Clerk is responsible for providing administrative and clerical support to the Human Resources department. This position handles all HR related administrative tasks, maintains up-to-date employee records, and provides general support to the HR team.
Monday through Friday 9:00 am - 2:00 pm with 1/2 hour unpaid lunch.
Human Resources Clerk Responsibilities:
- Assist with recruitment efforts, including processing requests for personnel, job posting on various job boards and updating as needed, scheduling interviews, and opening Zoom room interviews.
- Assist with coordinating the onboarding process including coordination of orientation day, background checks and pre-employment screenings.
- Responsible for maintaining and creating new hire folders ensuring folders are accurate and readily available.
- Assist with facilitating orientation day of new employees for day 1 and 2. Including creating new employee ID Badges.
- Assist with tracking of employee certification and licensures.
- Assist with gathering documentation required for audits.
- Responsible for maintaining and organizing personnel files. This includes scanning files to convert to electronic records.
- Performs general clerical duties including typing, copying, faxing, etc.
- Support diversity, equity, and inclusion initiatives especially as it relates to onboarding and retention.
- Collaborate with Operations to look for creative ways to engage, recognize, and communicate with the workforce.
- Backup for all HR general office operations– as needed.
- Occasional offsite travel may be required on a as needed basis to attend meetings, trainings, or company events.
- Assist in preparation of special events such as Agency Meetings, Annual Picnics, Christmas Party, and other office or company events.
- Creates and distributes flyers for HR communication needs.
- Performs other duties as assigned.
- A working knowledge of employment law and regulations.
- Must be proficient with Microsoft Office software, including proficiency with Excel, computers, e-mail, calculators, printers, copiers, and fax machines.
- Must be able to handle a heavy workload while maintaining accuracy in all assigned areas of responsibility and maintain strict confidentiality of all communications and information.
- Bilingual/Bicultural (English/Spanish) preferred.
- Must have excellent verbal and written communication skills, ability to deal with a wide variety of people both in person and on the telephone.
- Possession of a valid Illinois driver’s license and willingness to use personal vehicle in course of employment – required.
- Bachelor’s degree in Human Resource or related field preferred.
- Minimum 1- year general Human Resource experience preferred. Preferably in a non-for-profit setting.
- Minimum 2 years of office or clerical experience required.
