The Ayer Shirley Regional School District is looking to hire an Administrative Assistant to support the High School
Guidance Office. This position is a full-year position to begin July 1, 2024.
- Maintain up-to-date computer records for senior College Board scores, college applications in process, actions taken by colleges, and post-high school plans for inclusion in the year-end reports (in Access, Naviance, and PowerSchool)
- Maintain transcript folders (temporary records) for all students
- Prepare and transmit seniors' transcripts, including initial and mid-year transcripts for all applications and final transcripts to colleges that students will be attending
- Prepare and transmit seniors' transcripts to outside scholarship programs, armed services, and employers
- Process department correspondence for guidance counselors, including letters of recommendation for colleges, jobs, scholarships, and summer enrichment opportunities
- Create forms and documents for use by the guidance department including forms for guidance seminars, college planning, parent transition programs, etc.
- Create a GPA Distribution chart for juniors and seniors for college planning purposes
- Process records of past graduates and former students as requested for employers and colleges
- Perform other career/college-related tasks as assigned by the guidance department
- Notify the front office of guidance-related activities to be included on the school calendar and reserve school facilities for those events
- Continuously update the course catalog and Program of Studies
- Create courses in PowerSchool for schedules as needed
- Enter transfer courses into PowerSchool for new students entering from other schools
- Work closely with Special Education on scheduling.
- Assist the Guidance Department in performing tasks related to Scholarship information, Academic Awards, and Honor Roll notifications
- Assist with PSAT, AP, SAT, and MCAS testing as directed
- Produce honor roll and failure lists
- Complete graduation verification for graduates
- Organize and maintain awards and scholarship process for seniors and underclassmen
- Maintain routine for filing and disposition of students permanent records
- Issue Work Permits to students
- Manage input and exporting of Naviance data, with the support of the Director of Counseling/Guidance Counselors
- All other duties assigned as to be determined by school administrators
