Job description

We are currently recruiting for a HR Shared Services Operations specialist to support a growing local Charlotte employer. This will be a hybrid role supporting the HR team with a variety of functions. Activities include the administration of leave of absences, payroll and benefits support. This role allows requires a strong attention to detail and the maintenance  of HR documentation. This position is responsible for human resources information including recordkeeping, reporting and information management systems, providing administrative and project management support to the HR team.
 

  • Answer calls and emails in a prompt, courteous and accurate manner.
  • Provide a high-level of customer service to associate and retiree inquiries in accordance with established performance standards.
  • Work to positively influence and get along with team members.
  • Provide support for other Shared Services team members as needed with questions and cases.
 
In addition, the HR Shared Services Operations Specialist may support one or more of the following specialty areas:
 
HR Operations
  • Creates and maintains associate files as required by laws and regulations
  • Reviews incoming documents to ensure that all required information is complete and proper coding is available for data entry.
  • Enters, updates and proofs all associate records in the HRIS database (PeopleSoft) including new hires, terminations, personal changes and all salary changes.
  • Reviews weekly HRIS/Payroll data audit report to ensure accurate data entry of all administration changes.
  • Performs employment verifications to ensure factuality and confidentiality.
  • Keeps abreast of federal and statement employment law requirements and assists team in creating/updating procedures to ensure compliance.
  • Maintain and update highly confidential information on a daily basis
  • Participates in special projects and performs additional duties as required.
 
Benefits Administration
  • Performs the day-to-day operations of group benefits programs (group health, dental, vision, short-term and long-term disability, worker’s compensation, life insurance, travel and accident plan, flexible spending plan, 401(k) plan and retirement plan.
  • Transfers data to external contacts for services, premiums and plan administration.
  • Perform daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships and compliance testing.
  • Maintain employee benefits files and maintain group benefits data base.
  • Gather employee data for processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans. Allocate group health and dental claims monthly and reviews quarterly.
  • I-9 Administration and Labor Compliance
  • Conduct EEO-1 & Related Annual Filings/State Level Audits
HR Call Center
  • Provide phone support in the Benefits Call Center
  • Perform online data entry activities such as adding dependent or beneficiary names and manually changing benefit coverage for events not handled by PeopleSoft self service.
  • Handle all inquiries regarding benefit plan designs, benefit access, eligibility, status change, form request and general benefits information
  • Utilize off-line time to perform follow-up research and documentation
  • Process health certification statement requests for life and LTD coverage
  • Provide support for other Benefit Administrative Specialists and analyst as needed with questions and cases
  • Typing of letters, forms and memos
  • Re-direct inquiries to other appropriate areas, e.g., payroll, benefit support units, external insurance carriers and non-corporate benefit areas
Leave of Absence
  • Maintain the leave of absence inbox responding to all emails and calls in a prompt, courteous and accurate manner.
  • Partner with team lead to research and resolve pay discrepancies related to leave, termination requests, and escalations.
  • Partner with management on all leave related correspondence, educating management on internal processes and best practices.
  • Work to positively influence and get along with team members. Provide support for other Shared Services team members as needed with questions and cases.
  • Manage an assigned caseload of federal, state and company leave of absence, including the Family and Medical Leave Act (FMLA), Uniformed Services Employment and Re-employment Rights Act (USERRA) and the American with Disabilities Act (ADA)
  • Ensure workers compensation data is reported to the LOA vendor timely
  • Ensures proper documentation regarding all applicable laws, regulations and plans
  • Analyze claims to determine eligibility and certification while understanding regulatory requirements to maintain compliance with state and federal guidelines
  • Proactively monitor HR systems to ensure data integrity. Leverage vendor reporting to ensure data is accurate and entered timely.
