Job Description
Position Title: Sr. HRSS Specialist, Leaves and Disability
Position Reports to: Sr. HRSS Manager, Leaves and Disability

Job Description
The Sr. HR Shared Services (HRSS) Leave and Disability Specialist will serve as a subject matter expert and provide guidance to support employees and managers on the LOA policies and procedures, in accordance with applicable federal and state employment laws, including, but not limited to, the Family and Medical Leave Act (FMLA), Pregnancy Disability Leave (PDL), and the Americans with Disabilities Act (ADA) for multiple lines of business across the Americas region (US, Canada, LatAm)
Essential Duties & Job Functions:
  • Provides case management of all LOA and coordination on accommodation claims. Including conducting and documenting interactive dialogue discussions, analyzing records, and collaborating with third party vendors on recommendations on appropriate outcomes.
  • Serves as a point of contact for employees inquiring about a leave of absence and provides daily responses to cases, emails, and other communications. Knowledgeable to determine the eligibility of employees for FMLA, state/local specific leaves, and other company approved leaves of absence. Educates employees on coordination of benefits, Paid Time Off, and other resources during LOA.
  • Assists manager with developing and maintaining Gilead's LOA processes, and forms to ensure full compliance with applicable state/local, federal law and regulations. Interprets and clarifies Gilead's LOA policies to address inquiries from employees, managers, and HR partners
  • User of LOA tracking software, which manages all requests for LOA and reasonable accommodations. Completes tasks, communications, and regulatory updates are in place for efficiency and compliance. Makes recommendations for system and process improvements.
  • Collaborates with internal and external partners in all key functional areas, including Human Resources, Payroll, Benefits, Risk, and outside vendors. Seeks guidance with outside legal counsel as appropriate.
  • Assists with Gilead's Accommodation program in partnership with stakeholders as appropriate. Manages and provides direction on denied leaves of absence for assigned region, countries, departments, or locations.
  • Assists with on-going training for field managers and Human Resources to ensure Gilead's compliance with state/local and federal laws and regulations.
  • Generates and presents reports to analyze leave data and trends including current leaves, returns from leaves, and intermittent leave implications (pay, benefits, return to work, etc.). Advises leaders and stakeholders of best practices, prepares reports and provides analysis of current practice, analyses trends and benchmarks; implements improvement accordingly.
  • Attends continuing education opportunities on LOA topics and ensures 100% federal and state compliance; Stays abreast of all applicable regulatory changes, coordinate and facilitate training for managers and Human Resources to remain current on changes impacting LOA management.
  • Responsible for audits and reporting. Uses data and metrics to make critical decisions; identifies patterns and reports findings and trends and plans the necessary course of action.
  • Works with service providers regarding the leave of absence and disability to ensure proper administration of leaves of absence consistent with applicable laws and company policies
  • Manages monthly projects and reports such as Term Logs, Trackers (personnel file upkeeping, issue exit letters, complete unemployment claims, process employment verifications)
  • Performs special projects as needed.
  • Performs other duties as needed.

Knowledge, Experience, and Skills:
  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
  • Strong knowledge of the Americans with Disabilities Act and amendments, HIPAA, and relevant state and federal regulations.
  • Working knowledge of LTD and Voluntary Disability Insurance plans.
  • Working knowledge of general employment laws and regulations, and federal/state compliance requirements.
  • Working knowledge of state wage compensation benefits and state/local sick leave policy.
  • Good interpersonal, verbal, and written communication skills; Ability to operate effectively and proactively with a customer focus and employee experience mindset.
  • Strong organizational skills and attention to detail while juggling multiple priorities.
  • Must have the ability to work independently as well as collaboratively with multiple teams.
  • Ability to interpret guidelines, policies, and complex state or federal regulations to provide guidance to all levels.
  • Ability to gather and analyze data to identify critical issues and make independent decisions; perform duties with accuracy and attention to detail; Able to handle sensitive and confidential information appropriately.
  • Strong presentation skills; experience with developing and delivering training modules or programs.
  • Computer and Internet literate; proficient in Microsoft applications (Outlook, Word, Excel, PowerPoint); experience with Workday HCM system and ServiceNow HRSD CRM system.
  • Ability to multi-task and demonstrate time management in a fast-paced environment.

Basic Qualifications:
  • High School and Ten Years' Experience OR Associate Degree and Eight Years' Experience OR Bachelor's Degree and Six Years' Experience OR Masters' Degree and Four Years' Experience
  • 5-7 years' of progressively increasing experience administering in Leave & Disability Programs or Accommodations
  • Minimum of 4 years' of experience using HR an Payroll systems (e.g. Workday, SAP, Ultipro, Oracle, PeopleSoft, Lawson, ADP, Safeguard)

Preferred Qualifications:
  • Certified Professional in Disability Management (CPDM) certification, Certified Leave Management Specialist (CLMS), Certified Employee Benefit Specialist (CEBS), SPHR, PHR, or similar certification is a plus
  • Experience with Workday and ServiceNow is highly desired

The salary range for this position is: $97,495.00 - $126,170.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
