HR Recruiting Specialist is primarily responsible for recruiting, hiring, and onboarding all new hires to work within Ohana's social service residential homes. This position is responsible for increasing the overall number of applications received for Direct Care Worker and Behavioral Health Technician positions. This will include but not limited to posting and managing job descriptions on various hiring websites, sustaining, and creating relationships with existing and new referral sources, and working with the Ohana Media/Marketing team to create recruitment content. The HR Specialist will complete in-person interviews and identify appropriate work locations for each new hire. The HR Specialist will launch new hire onboarding in the people management system, ADP, and create new systems of efficiency for reducing the time it takes new hires to complete onboarding and begin working in a residential home. The HR Specialist is the responsible point of contact for new hires up till they receive their first paycheck and then work with the Chief Business Officer to communicate any staffing concerns/challenges/issues.

The HR Specialist must be able to maintain the highest level of confidentiality. This position requires someone who can adhere to and represent the Ohana Core Values and Ohana Pillars. This position fits within the Directors and Administrative ring of Ohana’s Target of Success with the target focus of Operations.

Responsibilities

  • Responsible for creating a welcoming environment by being the face and first point of contact for all potential new hires at Ohana
  • Responsible for increasing the number of qualified candidates for Direct Care Worker and Behavioral Health Technician positions.
  • Ability to manage multiple recruiting websites and other online recruiting platforms.
  • Must respond to all applicants within 1-2 business days with appropriate next steps.
  • Actively seeks out new candidates and schedules screener phone calls to determine if the candidate meets qualifications and Ohana Core Values.
  • Responsible for collaborating with Ohana Program Managers and Directors about current and future staff needs and maintain a high level of organization to determine best site location for new hires. Ohana has 17 different sites that need entry level staff.
  • Must maintain basic ongoing knowledge of Ohana members and their specific needs in order to determine best site location for new hires.
  • Become company on site expert of HR system ADP in order to manage the recruiting tab within this system.
  • Works directly with the Ohana Compliance Manager to ensure completion of onboarding for all new hires and initial background checks are completed.
  • Utilizes the ADP system in order to follow up with applicants to schedule phone screenings and in-person interviews.
  • Positive and ability to learn from mistakes and be gracious toward self & others
  • Knowledge of Ohana’s HR/Payroll system ADP to help assist with new hire onboarding and pulling reports.
  • Completing reference checks for new hires.
  • Assist with Ohana’s New Hire Orientation as directed by Chief Business Officer.

Additional Responsibilities

  • Attends and participates in all required meetings, trainings, committees, or other assignments as required.
  • Willingness to assist company, other departments, colleagues, and employees with other duties as assigned.
  • Must participate in Ohana leadership development opportunities like admin meetings, all staff meetings, Ohana Leadership Academy, etc.

Requirements
  • Bachelor's Degree or equivalent work experience preferred
  • Proven work experience as a Recruiter (either an in-house recruiter or a staffing agency recruiter)
  • Must be able to stay on task with interruptions occurring throughout the day.
  • Ability to show initiative and proactively seek out special projects, not waiting to be told.
  • Ability to show creativity and innovation in communication and special projects.
  • Ability to work effectively with others and to communicate effectively, orally and in writing.
  • Ability to maintain highly sensitive and confidential information.
  • Ability to work under stringent deadlines and handle issues which develop unexpectedly, multi-task, and work with multiple priorities and interruptions.
  • Understanding of Microsoft Office and other business software.
  • Hands on experience with various selection processes (in person interviewing, phone interviewing, reference check etc)
  • Familiarity with HR databases, Applicant Tracking Systems (ATS) and Candidate Management Systems (CMS) such as indeed or zip recruiter.
  • Hands-on experience with recruiting software, as well as Human Resource Information Systems (HRIS) or Human Resource Management Systems (HRMS) such as ADP.
  • Excellent communication and interpersonal skills
  • Strong decision-making skills
