As a member of the global P&ED team, the P&ED Specialist will act as a representative of the People and Culture delivery arm in the U.S. In addition to facilitating smooth onboarding of employees, efficient payroll & time management, and effective benefits administration, this role will also entail spearheading continuous process improvement initiatives by gathering pertinent feedback across. Moreover, the specialist will be tasked with supporting the management of activities on-site as necessary. Though the role is based out of Wilson, NC, this pivotal role is instrumental in enhancing and supporting the overall employee experience across multiple employee & office locations in the U.S. It demands meticulous attention to detail, excellent communication skills, and the ability to collaborate with various stakeholders to deliver exceptional People & Culture services to all U.S. employees. Your ‘day to day’: • Ensure completion of Form I-9 for all new hires, verifying identity and employment eligibility through the E-verify system. This involves collecting and reviewing necessary documentation and resolving any discrepancies. • Workers Comp Code Classification: Collaborate with payroll team to classify employees according to Workers Compensation Codes, which will ensure accurate reporting and appropriate payroll deductions. • EEOC Reporting: Collect and support maintenance of demographic data on employees for Equal Employment Opportunity Commission (EEOC) reporting purposes, ensuring compliance with federal regulations and diversity initiatives. • New Hire Actions: Initiate and coordinate necessary actions within the Shared Service Center (SSC) to set up new employee records, including payroll, benefits enrollment, and access to company systems. • New Employee Briefings: Coordinate orientation sessions for new employees, covering topics such as company policies, organizational culture, benefits packages, payroll procedures, and Internal Employee Portal navigation. Address questions and provide resources to help new hires acclimate to their roles and the company. • Liaison: Serve as a liaison to ensure new hires receive accurate and timely guidance. Schedule personalized meetings between new employees and subject matter experts to provide in-depth information on specific areas, such as benefits, compensation, IT setup, or departmental processes. • Badge Setup: Assist in configuring employee badges within the ADP system for non-exempt new hires requiring access to timekeeping and payroll functions. Responsibilities under the Payroll Umbrella: • ADP WFM Management: Manage the administration and maintenance of ADP Workforce Management (WFM) Time clocks, ensuring accurate recording of employee work hours and adherence to company policies and labor laws. • Resignations/Terminations: Process employee separations in collaboration with relevant departments, calculating final payouts for accrued wages, unused leave, and other benefits. Communicate termination details to departing employees, including information on benefits continuation and COBRA coverage. • Garnishments Processing: Handle garnishment orders received from external agencies and share them with the payroll team for accurately calculating and deducting garnished amounts from employee wages. Monitor and release garnishments in compliance with legal requirements and court orders. • Employment Verifications: Respond to requests for employment verification from external parties, such as government agencies, lenders, or landlords. Verify employment history and salary information while safeguarding employee privacy and confidentiality. • Payroll Support: Provide on the ground support and assistance to the Payroll Team on payroll issues, including data entry, calculation errors, and system troubleshooting. Collaborate with other departments to resolve payroll-related inquiries and discrepancies. • Internal Employee Portal Ticket Management: Initiate, track, and follow up on Internal Employee Portal tickets related to payroll issues reported by employees. Liaise with the Shared Service Center (SSC) to ensure timely resolution and communication of updates to employees. • Equal Salary Certification: Support the process of obtaining and maintaining Equal Salary Certification, including data collection, analysis, and documentation to demonstrate compliance with equal pay standards and regulations. • Hourly Employee Communication: Specifically for on-site hourly employees who may not have access to computers or mobile devices during work hours, utilize alternative channels such as bulletin boards, shift meetings, or text messaging to ensure important information reaches employees without regular access to email. • Employee Referrals: Support the Talent Acquisition (TA) team to track and document employee referrals made during the hiring process, assisting in identifying potential candidates and rewarding employee referrals where applicable. • Benefits On-site support: Assist employees with navigating the benefits enrollment process, submitting tickets to the Shared Service Center (SSC) regarding benefits-related inquiries, then initiate, track and facilitate resolution of Internal Employee Portal tickets. Who we’re looking for: • Bachelor's degree in Human Resources, Business Administration, or related field. • 2+ years of experience in HR operations, with a focus on onboarding, payroll, and benefits administration. • Proficiency in HRIS systems, preferably SAP or Success Factors HCM. • Strong understanding of employment laws and regulations. • Excellent communication and interpersonal skills. • Ability to manage multiple tasks and prioritize effectively. • Attention to detail and a high level of accuracy. • Strong problem-solving and analytical skills.
