- Accepts employee calls and greet walk-ins when benefits team members are not available. Triage questions when possible. Promptly and courteously accepts and screens all telephone calls routing calls appropriately or taking accurate messages.
- Receives all guests, ascertains needs, and directs guests appropriately. Tactfully handles guests who may be difficult; always remains positive even though guest may be upset.
- Serve as primary point of contact for the appropriate and timely dissemination of employee Communicates with representatives from various benefit plan vendors.
- Assists with all daily benefits tasks as required for maintaining the health & welfare plans including health/dental/vision, flexible spending accounts, life, and supplemental plans
- Assists with scheduling meetings for the benefits team with vendors and employees as needed.
- Sends benefit letters to employees upon notice of separation and eligibility letters upon transfer.
- Supports team by timely and accurately processing employee action sheets, Change in Status and Separation Action Sheets. Makes the required changes to benefit deductions in HRIS, notifies team of change in eligibility or ineligibility according to change in status and separation.
- Assists team as needed with duties necessary to successfully facilitate the monthly long term recognition program. This includes printing and distributing the employee invitations, ordering the retiree gift selection brochures, e-mail communication to managers, etc.
- Verifies Defined Contribution Plan distribution request by personally calling the employee for confirmation of request.
- Accurately scan and stores benefit documents, such as coordination of benefits, life events, marriage and birth certificates documents, as required, to the W drive.
- Creates reports and tracking tools for collective utilization of benefits team to complete the monthly billing for all plans.
- Performs data audits of healthcare enrollments and payroll deductions to ensure accuracy.
- Supports team with open enrollment activities including, but not limited to vendor contacts for on-site visits, meeting schedules, room reservations, door prizes, e-mail communication, audits and reports.
- Manages the Reid Buy/Sale Board with timely review and approval of requests.
- Maintains the accuracy of the Employee Discount List which requires continuous contact with vendors for potential revisions.
- Prepares employee materials for new employee benefit orientation each week.
- Assists with the annual employee appreciation celebration planning and preparation.
- Assists as needed with the education assistance benefit, such as answer employee questions and retrieve necessary documents to complete reimbursement.
- Supports the team with employee correspondence and eligibility for all leaves of absence, as needed.
- Prepares invoices for employees who have balances due to missed deductions while on leave.
- Supports team by timely and accurately processing employee action sheets, change in status and separation, and make required changes to benefit plan deductions, separations and eligibility.
- Coordinates and completes special projects as necessary.
- Supports the efficient operations of the department including coverage for reception area and filing as necessary.
- Handle sensitive employee information with the utmost confidentiality and discretion
- High school graduate
Education Preferred:
- Associate degree in Human Resources, Accounting, Business or other relevant field to prepare the incumbent for success.
Experience Required:
- A minimum one year experience working at similar position in HR or Accounting position.
Experience Preferred:
- Three years of experience in benefits related field.
