Job Description
Position Summary:
The Administrative Assistant of the Human Resources Department will perform administrative duties related to the operations of the Human Resources office.
Essential Functions:
- Answers and directs all in-coming phone calls. Ability to take detailed and accurate messages.
- Schedules and organizes appointments for the HR team.
- Manages the internal website and is the main contact with Prestige. Facilitates the updating of all policies and ensures they are uploaded properly and timely.
- Manages online company store.
- Logs all candidate dispositions in applicant tracking and Indeed.
- Collects and scans HR documents (i.e., safety, HUG and performance review forms).
- Tracks all the Alchemy training and is an Alchemy "super user" for the corporate office.
- Tracks E-Verify documents and scans and places them into the employee’s personnel folder.
- Conducts employee verifications for past employment or loans.
- Supports orientation process by copying documents and building folders for the new hires. Then uploads the signed copies into the employee’s folder.
- Creates new employees’ electronic personnel folders.
- Tracks all new hires in the new hire spreadsheet and removes employees when terminated.
- Manages the child support orders for new hires and removes when an employee is terminated.
- Completes separation documentation.
- Manages wage garnishment.
- Coordinates lunches and events at the corporate site including ordering food and ensuring the conference rooms are prepared for meetings and visitors.
- Coordinates Lunch and Learn events for the HR team.
- Backup (fill in) for Security Guard at the corporate office. This includes the unlocking of the guardhouse, turning the alarm on and off, turning on the lights in the building, and closing and locking the building at the end of the day when needed.
- Performs other related duties as assigned.
Requirements:
- Excellent organizational skills and attention to detail.
- Extensive knowledge of office management systems and procedures.
- Ability to operate general office equipment.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite or similar software.
- Shall maintain a high level of professionalism in person, in the office, and on the phone.
- Ability to protect confidential information.
Education and Experience:
- High school diploma or equivalent required.
- Two years of Administrative Assistant experience preferred.
