As the HQ Office Manager, you will be the first point of contact for our company. The main duty is to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.
Requirements:
- Bachelor's Degree, preferably Business and /or Finance
- Professional attitude and appearance
- Fluent in Microsoft Suite, Outlook, Excel, Word, and PowerPoint
- Experience with CRM Salesforce.com, preferred but not required
- Preferred work experience as a Receptionist or similar role, but not required
- Required to be in the office 5-days and the expected hours are 7am-5pm
Job Responsibilities
- Facilities Management
- Managing Conference Room Reservations
- Manages the audio video needs in our conference rooms and elevator lobby displays.
- Building Liaison: Main contact point for building related matter such as common space reservations, engineering repairs/requests.
People Management
- Vendor sourcing: Source, procure and liaise with vendors for office related needs like furniture, graphics/artwork, movers, etc.
- Greet visitors at the front desk by welcoming, directing and announcing them appropriately while also having all visitors entered into the buildings security system well in advance
- Answer, screen and forward incoming phone calls
- Ultimately, assist with special projects and take on additional responsibilities by assisting the assistant team with overflow projects and tasks
Supplies Management:
- Schedule, receive, and sort daily mail & deliveries
- Order all office supplies and keep inventory of stock while also maintaining vendor relationships
- Ensure that the office, conference rooms and kitchen are well-maintained and organized
- Order all employee business cards
- Care and keeping of the office, such as stocking / maintenance of soda vending machines, dishwashers, and coffee machines
Additional responsibilities:
- Liaise with TV and print media partners to manage firm’s press appearances
- Regularly monitor the Wolfe website to ensure accuracy of information
- Maintain the internal ‘Wolfebook’ (firmwide directory)
- Assist on various data entry projects as needed, including maintenance of client records in Single Track
Key Skill Qualifications:
- An interest (curiosity) in Finance with a high degree of motivation
- Strong interpersonal and communication skills, both written and oral
- Exceptional organizational skills with high attention to detail and the ability to multi-task
- Proactively handle regular activities without prompting
- Ability to demonstrate strong teamwork to work and work in partnership with all other teams at the firm

The compensation for this role is market competitive with a base salary range of $65,000 -$75,000.
