Under the general supervision of the Director of Strategic Enrollment, the Registrar leads the student records functions for the College, ensuring accurate and efficient services and information to students, alumni, faculty, administrators, and external agencies. The Registrar leads and manages key operations related to academic records, class schedules, registration, academic calendar, degree verifications, and the evaluation of transfer credit and credit for prior learning.
Primary Duties and Responsibilities
Records and Process Management
Supervise all official student record-keeping systems.Maintain, secure, and retain official student records and confidentiality in compliance with the Family Educational Rights and Privacy Act (FERPA), the guidelines of the American Association of Collegiate Registrars and Admissions Officers (AACRAO), and the requirements of accrediting agencies.Serve as the College FERPA compliance officer.Uphold standards and procedures for awarding credit and degrees set forth by applicable accreditation agencies and the WTCS.Establish equitable, inclusive, and consistent policies and procedures for student records and registration. Oversee compliance with federal, state, and local regulations.Interpret and consistently administer Wisconsin Technical College System (WTCS) and College policies and regulations while ensuring quality and integrity.Monitor all course fees for accuracy.Evaluate and approve credit transfer, credit for prior learning, course substitutions, and special degree considerations for student records. Verify completion of graduation requirements for all credentials. Oversee the preparation and delivery of diplomas and certificates of completion.Administer the collection, recording, and dissemination of student grades and grade changes.Resolve student disputes, as they relate to duties of the Registrars Office, through the appropriate research, analysis, and resolution.Supervise the preparation, evaluation, and delivery of student transcripts. Receive, authorize, and process Joint Services Transcripts.Supervise course scheduling, classroom assignments, and monitor registration and enrollment processes. Develop and disseminate academic action calendars with dates and deadlines.Analyze students enrollment and outcomes data to support accurate college reporting. Oversee the data reporting process for the National Council for State Authorization Reciprocity Agreements (NC-SARA).Innovation and Continuous ImprovementContribute to the learning-centered operation of Nicolet College as a whole through leadership and participation at College meetings. Work collaboratively with College employees to ensure that all students are appropriately supported. Collaborate with other student affairs offices and employees, including Admissions, Advising, Financial Aid, and Accounts Receivable.Collaborate with the Chief Information Officer and IT team to ensure the technology infrastructure supports the effective and efficient delivery of student information. Manage, research, and facilitate SIS and other technology systems enhancements.Oversee student information systems (SIS) functionality.Work collaboratively with IT to create and modify data reporting.Interpret and implement WTCS and College policies and procedures to align with various instructional delivery methods.Team Administration and LeadershipServe as a resource to the college community for FERPA training and other applicable Administrative Policies.Supervise direct reports through coaching, professional development, and formal performance appraisal.Develop budget and allocate funds for areas of responsibility, including operational and capital budgets.Attend WTC system-called meetings related to areas of responsibility.This list is not all-inclusive; other duties may be required and assigned.Qualifications
Required Qualifications:
Bachelor's Degree.Minimum of two years of full-time work experience in registration, enrollment management, student success coaching/academic advising, or records management.Experience with student information systems and MS Office.Preferred Qualifications:Master's Degree.Administrative and supervisory experience.Experience working as a Registrar or Associate Registrar.Experience with degree audit reporting, degree evaluation, transfer information systems, such as Transferology, and imaging systems.Experience implementing Student Information System software.Knowledge, Skills, and Abilities:Knowledge of student privacy laws and regulations, with ability to use discretion when handling sensitive information and situations.
