Aberdeen Audiology Office /Outreach Coordinator
DESCRIPTION: Aberdeen Audiology is a fast-paced and busy audiology private practice in Wayne and West Chester, PA. Every day, we help patients ranging in age from infants to centenarians hear and process sounds better and regain their balance. We are seeking someone who would work 3 days in our Wayne office and 2 days in our West Chester office. The position has a dual role of working at our front desk as well as working on outreach projects to grow and maintain our referral sources, primarily amongst the local medical community.
The ideal candidate would have the ability to:
· Welcome people to the practice and convey a friendly atmosphere from first contact, over the telephone or in person.
- Maintain a high level of professionalism when communicating with patients and the staff of referring physicians, audiologists, speech-language therapists, and other healthcare professionals.
- Help promote the practice through exceptional customer service and interaction with referring offices.
- Exercise good judgment in decision making and attention to detail.
- Utilize basic computer and internet skills, i.e. browser use, Microsoft Office, and latest Windows versions. Canva and social media experience is a plus.
- Thoughtfully communicate with other members of the office staff.
- Maintain organizational skills in the midst of a fast-paced environment
- Multi-task and prioritize tasks or problems in order of importance.
- A willingness to learn new skills and systems
- Maintain a 30-hour work schedule with consistent start times
- Visit existing and potential referral sources within 30 minutes of our Wayne and West Chester locations.
RESPONSIBILITIES: While the ideal candidate does not need to be able to perform these tasks immediately (training will be provided) the following tasks will be performed on a regular basis:
- Greet patients entering the practice and promptly answer telephone and return voicemails.
- Schedule appointments according to practice guidelines
- Prepare patient electronic files the day before the appointment and obtain referrals when required
- Accurately enter or update patient information in the office software
- Follow HIPPA-related policies and procedures regarding protected health information
- Collect patient payments and record in the office software
- Coordinate and collaborate with our medical insurance billing service
- Prepare FedEx, UPS, and USPS shipments
- Collaborate with the Chief Audiologist to create and distribute outreach materials, including newsletters, flyers, and social media content, to effectively communicate our mission and initiatives.
- Liaising with healthcare providers, specialists, and other external partners to grow and maintain relationships with existing referral sources
- Collaborate with the Chief Audiologist to provide accurate and timely information to referring healthcare professionals about product updates, clinical studies, and relevant industry information.
- Actively seek out and explore new referral opportunities within the community.
LOCATION: The job splits responsibilities between the Wayne and West Chester offices and includes some short travel within the community to medical facilities for marketing purposes.
REQUIREMENTS
· High School diploma
· 3-5 year experience in customer-facing administration work (medical setting preferred)

Pay: $20.00 - $22.00 per hour
