Position Details:

  • Reports to: Owner & Leadership Team
  • Schedule: Monday to Friday, 8-hour shifts (11:30-7:30 or 11-7) with the option of leaving early on Fridays and working a half day on Saturdays. OR we can do a part time shift, of 20-25 hours a week, late afternoon/early evening. (ONLY full time qualifies for access to health insurance)

Minimum Qualification Requirements:

  • High school diploma (Associates or Bachelors preferred)
  • Available and ready eady to embrace 35-40 hours of work per week (Don't worry, there's still time for your favorite Netflix series!)
  • Social media savvy and tech-tastic (You're the Jedi of the digital realm!)
  • Excellent interpersonal and communication skills. We're after a social ninja who can wield words like nunchucks and turn awkward conversations into delightful waltzes. If your voicemails could win awards, we're all ears!
  • Ability to work collaboratively with various professionals, both in the office and outside the office. Can create harmony while working with a diverse orchestra of professionals.
  • Empathetic and non-judgmental listener. Empathy and a genuine passion for helping others is a must. We're on the lookout for an empathy superhero with a cape woven from understanding and a passion for helping. If you've ever teared up during a Pixar movie, your superpowerse are exactly what we need!
  • Problem-solving wizard - As our go-to Problem-Solving Maestro, you'll tackle challenges with a whimsical wave of your metaphorical wand, turning 'uh-ohs' into 'ta-da!'s we figured out a solution!
  • Strong organizational and multitasking abilities. Hunting for that special someone whose attention to detail could give Sherlock Holmes a run for his magnifying glass, and whose organizational skills could turn a tornado into a ballet danceer. If color-coding your sock drawer brings you immense joy, we want you on our team!

  • Collaboration Conductor: As a crucial part of our team, your ability to collaborate with other professionals is essential. Working together to ensure the best possible care for our clients is at the heart of what we do. Your role isn't just about collaboration; it's about conducting the symphony of teamwork. You'll be the maestro who brings professionals together, like a conductor uniting a quirky orchestra of school personnel, medical providers, and case managers. Together, we create harmonious care for our clients.
  • HIPAA Houdini: Guard patient confidentiality like a pro, your cloak of confidentiality will be your secret weapon!. We place the utmost importance on patient confidentiality. Your dedication to adhering to HIPAA regulations and maintaining the integrity and confidentiality of patient and organization-related information is vital.
  • Wizard of Digital Data: You'll become a master of our electronic health system, using it to store and manage all patient information securely. This knowledge is key to maintaining efficient and accurate records.
  • Captain Clean & Tidy: Keep things tidy, welcoming, and sparkling. Your attention to detail will ensure that our front reception, waiting room, bathrooms, and office spaces remain clean, organized, and inviting for both clients and staff.
  • Customer Care: Provide friendly and timely support to clients. Whether it's in person, over the phone, or through voicemail, your ability to respond to client requests promptly and warmly is a cornerstone of our practice's success.
  • Financial support Handling cash and credit card transactions accurately, while providing clients with assistance when they need it, is a key responsibility. Your proficiency in this area keeps our financial operations running smoothly.
  • Outreach and reminder calls to patients are crucial for their continuity of care. Your adeptness at making these calls ensures our clients stay on track with their appointments and treatment plans.
  • Scheduling intake appointments is a part of your role. Your organizational skills will help ensure these important initial sessions are set up smoothly.
  • Keep our records accurate and up to date. You'll help maintain client charts and accounts by collecting, scanning, and entering information into electronic medical records. Your keen eye for completeness and accuracy is invaluable.
  • Conquer billing challenges, Be the champion of unpaid claims! Working on general billing issues, you'll help keep our financial operations on track, ensuring that clients receive accurate invoices. In the world of insurance, you'll take charge of following up with insurance companies on unpaid or denied claims.
  • Superhero to the rescue! Assist our owner and leadership team like a superhero. When called upon, you'll provide valuable assistance to our owner and leadership team helping with various tasks and special projects.
  • You'll be responsible for mail and managing deliveries from carriers like UPS and FedEx, ensuring our office operates smoothly.
  • Active participation in mandatory staff meetings, training sessions, and team-building activities is expected. Additionally, you might assist our owner or leadership team in planning company events and special projects.
  • Maintaining open communication with our owner and leadership team you'll update them on task progress and important details, ensuring we're all on the same page.
  • From time to time, you might be asked to run errands or help with office supply orders, ensuring our workspace is well-equipped.
  • When new team members join us, your support during the onboarding process will help them get up to speed smoothly.
  • The Magical Jack-of-All-Trades - For tasks and responsibilities that don't fit neatly into any category, you'll be ready to step in and adapt & assist as needed.
