Job Title:    Front Desk Admin          

Department:   Administrative

Reports to:  Controller  

Job Summary:

The Front Desk handles all support tasks pertaining to the efficient running of the office while often being responsible for the role of receptionist and light accounting.

Duties/Responsibilities:

• Answer and route all incoming calls and greets visitors
• Orders office supplies and maintains office inventory
• Distribute daily mail
• Prepare daily UPS shipments
• Monitor AP Email and lookup/place vendor number on each
• Match PO's and Receivers to Invoices
• Review Vendor Statements
• Maintains vendor insurance certificates
• Maintain common areas such as kitchen and ladies room between janitorial visits (may include light cleaning of spills, mud tracked on carpet, etc)
• Order office lunches and set up for meetings as needed
• Maintain safety equipment for visitors
• Greet job applicants and communicate with HR
• Administrative Support to managers (copies, scanning, mailing, cleaning, etc.)
• Miscellaneous purchases (BJ's, Staples, etc.)
• Back up to AP, and post to AS 400 as needed
• Scan posted invoices to Metafile as needed
• Other general office duties as assigned

Education and Experience:

• Microsoft Excel
• Microsoft Word
• Microsoft Outlook
• AS 400/Infinium accounting software
• Bi Lingual (English/Spanish) if possible
