Summary: The Firm Administrator helps with the day-to-day operations of the law firm. The Firm Administrator will help to coordinate with the shareholders in the areas of personnel, marketing, operation, equipment, benefits, and vendors.
Essential Functions:

General:
- Meets with the managing shareholder to address daily tasks
- Supports other staff members, such as paralegals and the Executive Assistant to complete tasks and deadlines
- Records meeting minutes for weekly attorney and shareholder meetings
Operations:
- Ensures completion of each task on the daily docket
- Assists with the development of new processes by drafting proposals to the shareholders
- Analyzing current processes to ensure efficiency
- Interviewing and contracting vendors for supplies and services as required by the law firm, including office supplies, office equipment, landscaping, janitorial, and maintenance/repairs
- Completes and reviews applications for yearly insurance renewals for Employment, Business Owner’s Policy, Workers’ Compensation, and Malpractice
Marketing:
- Works with contracted marketing companies to propose well-researched and supported ideas to the shareholders
- Ensures current marketing strategies are used to accommodate the changing environment of the legal field
- Supervises the new call center to ensure positive relationships are developed within the community
- Proof reads and presents new marketing designs to the shareholders
- Creates quarterly marketing reports to present to the shareholders
Human Resources:
- Addresses employee concerns in an efficient and effective manner
- Assists attorneys with performance evaluations and disciplinary matters as they arise
- Write and list job descriptions to successfully hire the most qualified candidates for new positions
- Assist the shareholders to interview and test potential candidates and provide recommendations
- Coordinates with brokers and proposes recommendations for the yearly employee benefit plans
Finance & Accounting:
- Works in cooperation with the Accounting Manager to ensure monthly invoices are accurate and paid timely
- Completes daily bank transfers
- Ensures inventory is up to date and documented according to the policies of the law firm
- Assists the Accounting Manager to create a yearly budget proposal for the shareholders

Reports to: The Firm Administrator reports to the shareholders of Killian Davis Richter & Fredenburg, P.C.
Supervisory Responsibilities: The Firm Administrator supervises the front desk receptionist, call center, and medical records departments. Additionally, per the request of the supervising attorney, the Firm Administrator will meet with paralegals regarding performance matters.
Desired Requirements: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The minimum desired education or combination of experience and education is as follows:
- A bachelor’s degree from an accredited institution in a related field;
- Steady work history;
- Favorable test results (Achiever/Writing Sample/Omnia);
- Objective references;
Compensation: Standard pay range for a Firm Administrator is $60,000 to $90,000 annually ($28.85-43.27 per hour), depending on experience. Pay increases available as seniority accrues. Benefits offered to full time employees:

Days and Hours: This is an exempt full time salaried position. Our main hours are Monday through Friday, from 8:00 a.m. (MST) through 5:00 p.m. (MST), however, schedule accommodations can be made on a case-by-case basis. A one-hour lunch is scheduled from 12:00 p.m. (MST) through 1:00 p.m. (MST). Overtime is occasionally needed.
Physical Requirements: sitting for extended periods of time (at a computer monitor up to 2 hours), lifting a minimum of 15 pounds, reaching, bending and twisting to reach (fully extended arms including over head) case files from shelves.
