Job Description:
Required Skills/Abilities
Basic knowledge of permits and licenses procedures (training will be provided)
Must be proficient in Google Workspace with strong experience using Gmail, Google Sheets and Google Docs
Strong organizational and data management skills
Attention to detail and accuracy in data entry and documentation
Flexible and able to take on a variety of tasks assigned
Team player but also works well independently
Customer service oriented
Ability to work in a fast paced environment
Education and/or Experience Required
Minimum of 1 year of experience in an office job environment
Previous experience in administrative or research support role preferred
Post secondary education is an asset
Experience using Workday would be an asset
Key Job Responsibilities
Assist in collecting and compiling data related to permits and licenses from various sources, including government websites, databases, and other reference materials.
Follow-up on scheduled inspections, results and/or infractions noted
Create payment requests for live checks and credit card payments
Accurately input and maintain data in the organization's databases or systems
Organize and maintain records of permits, licenses, and related documentation, ensuring easy accessibility for reference and compliance checks
Assist in creating digital and physical files for permits and licenses
Collaborate with the permits and licenses researcher to conduct research on regulatory requirements, compliance procedures, and industry-specific permits and licenses
Summarize research findings and provide reports to the researcher for analysis
Administrative Support
Coordinate and schedule meetings, appointments and inspections related to permits and licenses
Prepare and distribute communication materials as needed, including notifications and compliance updates
Act as a liaison between the permits and licenses researcher and internal departments or external agencies
Handle inquiries and provide information on permit and license-related matters
Compensation
$20 - $25/hr.
