Job description

SUMMARY 

The Center for Preparedness and Response seeks candidates to immediately begin work to respond to current public health needs. The successful candidate will perform important administrative duties including, but not limited to, staffing data reconciliation and reporting, grant expenditure tracking; performing quality control checks on grant expenditures; and monitoring staffing rosters to assist with data quality control; and record keeping. Maintaining an organized, neat, and clean work environment, working well in a team environment, and being organized and detail-oriented are essential.

The hourly range for this position is $19.00 per hour to $25.00 per hour depending on experience/qualifications.

ESSENTIAL FUNCTIONS 

  • Serve as a lead for coordinating federal grant personnel data tracking
  • Review labor reports and reconcile data
  • Review personnel expenditure reports and identify needs for expenditure corrections for labor charges
  • Evaluate discrepancies between labor reports, internal tracking sheets, and billing information for federal grants
  • Receive information from CDPH centers, divisions, offices and other stakeholders on changes in personnel
  • Organize and maintain data repositories for CDPH federal grant management
  • Assist with billing and/or invoicing for personnel costs
  • Use Microsoft suite programs such as Microsoft Word, Excel, and Access Databases when needed
  • Keep organized files, including tracking via excel spreadsheets and/or Microsoft Lists
  • Other duties as necessary in the office when deemed necessary

JOB QUALIFICATIONS 

  • Experience with excel including basic understanding of pivot tables
  • Ability to learn and apply concepts to the job at hand
  • Familiarity with:
    • tracking staff funding, grant administration, and coordinating activities across a medium-sized organization

Education/Experience 

  • Bachelor’s degree in business administration, public health administration, or public administration is preferred, but not required.

  • Proficiency with Microsoft Office software, including Word, Excel, and Outlook
  • Ability to effectively communicate verbally and in writing

General office setting, indoors, temperature controlled.

Must have functioning internet access at remote location. There is no reimbursement for internet access.
