Facilities Manager

SUMMARY

The Facilities Manager is responsible for providing strategic leadership as it relates to all aspects of engineering, facilities, EVS, construction, renovations, and general property maintenance in accordance with Ellis Park Racing & Gaming (the “Company”) policies and procedures.

FUNCTION

The Facilities Manager plans, directs, and coordinates all activities within the maintenance department in the field of engineering, carpentry, plumbing, EVS, etc., for Ellis Parks facility, including the HRM clubhouse, restaurants and bars, grandstands, backside barns, dorm rooms, and other outlying buildings.  The Facilities Manager reports directly to the Director of Facilities. The ideal candidate is a seasoned facility professional with outstanding management skills and extensive hands-on experience. Available to work when needed, including weekends, holidays, and nights.

SPECIFIC DUTIES AND RESPONSIBILITIES

• Actively participates in strategic planning and execution in all facets of the property operation as a critical member of the leadership team.
• Manage and evaluate work assigned to employees, ensuring proper levels of maintenance and repair are scheduled and completed.
• Performs or facilitates inspections of all parts of the organization’s grounds and facilities; approves renovations, maintenance, and installations when necessary.
• Maintains a recordkeeping system documenting facility use, maintenance schedules, and any other information required by internal policy or by local, state, and federal agencies.
• Ensures adherence to all OSHA safety requirements and HRM safety policies.
• Maintains an ongoing dialogue and working relationship with staff from other departments to ensure the facility’s needs and problems are communicated timely, identified, and resolved.
• Collaborates with other staff and stakeholders to review and update the organization’s annual business plan.
• Assists with preparing the yearly facilities budget and projected cost for future building and remodeling projects.
• Develops and manages preventative maintenance program and schedule.
• Advises management of necessary property repairs and replacements.
• Coordinates and delegates maintenance work for all special events.
• Perform other related duties as assigned.
• Maintains files of warranties, records, licenses, inspections, service agreements, and contracts for various pieces of equipment.

SUPERVISORY RESPONSIBILITIES

• Lead direct reports through staffing, training, and performance management.
• Responsible for the overall direction, coordination, and evaluation of facilities-related departments.
• Oversees and coordinates the workflow of assigned staff and departments to ensure projects are completed in a timely and quality manner.

POSITION QUALIFICATIONS

• Complete understanding of facilities, maintenance, engineering, environmental services, and grounds.
• Must have knowledge of construction contracts, permits, and facility-related documents and be able to administer projects.
• Knowledge of all life safety, mechanical, electrical equipment, HVAC, chiller, boilers, and be familiar with local, state, and federal laws and codes (OSHA).
• Proficiency in Microsoft Office, or equivalent, applications and menu-driven computer programs.
• Must be able to formulate and communicate ideas and make independent decisions.

EDUCATION, TRAINING, AND EXPERIENCE

• Bachelor's degree in a related field or at a minimum of 7 years of progressive experience.
• Strong technical knowledge of the following: mechanical, electrical, plumbing, HVAC, structural, safety systems, architectural, landscape, and energy management.
• Must have a Valid Driver’s License.
• Able to obtain and maintain a valid Kentucky gaming/racing license.
