We are seeking a responsible and detail-oriented Facilities and Maintenance Specialist to join our team, responsible for ensuring the efficient and seamless operation of the Lynchburg, VA, and Ashville, NC distribution centers. The ideal candidate will be a proactive individual with strong multitasking abilities, proficiency in report creation, and the capability to meet deadlines while working independently. This critical role involves vendor management, procurement, and playing a key part in maintaining a trustworthy relationship between vendors and suppliers.
What You Will Do in Your Role
MDI (Management for Daily Improvement):
- Leadership, support, data analytics and reporting.
- Future responsibilities in Lean transformation as it relates to Maintenance.
Report Creation and Management:
- Utilize Excel and other programs to create and maintain reports such as work order reports, shift trends, and equipment downtime.
- Assist in maintaining the computerized CMMS and MSDS program for the facility.
Vendor Management and Procurement:
- Assist with the renewal and securing of vendor contracts.
- Create and oversee purchase orders in Coupa.
- Manage parts inventory, including research, ordering, and receipt functions.
Budget Support:
- Assist in creating and adhering to the yearly budget, demonstrating a thorough understanding of budgets and financial documents.
Team Support:
- Efficiently manage and code PTO/daily time for the maintenance team.
- Coordinate all maintenance training programs and track progress.
Supply Management:
- Order supplies for maintenance and operations as needed.
- Maintain optimal inventory levels.
Inspections and Safety:
- Schedule and report on routine maintenance inspections, including stormwater, fire door, thermal imaging, etc.
- Adhere to all plant safety and environmental guidelines, policies, and procedures.
- Perform tasks such as lifting, walking, climbing, stooping, standing, pushing, and/or pulling as needed.
Flexibility and Work Ethic:
- Willingly work any shift, holidays, weekends, and overtime as needed.
- Work independently or collaboratively as assigned, showcasing a quality-conscious and detail-oriented approach.
What Will Put You Ahead:
Communication and Experience:
- Communicate effectively and professionally with all levels of the organization and vendors.
- Three to five years of clerical or related experience required.
- Extensive knowledge of programs such as Excel, Word, Coupa, Concur, Coast, Dayforce, etc.
Industry Experience:
- Experience in the Distribution and Packaging industry is preferred.
- Familiarity with facility maintenance administrative tasks, including the use of CMMS software.
Organizational Skills:
- Ability to prioritize tasks/work in a self-directed manner.
- Highly organized with the proven ability to multitask and meet deadlines with a high sense of urgency.
Other Qualifications:
- At least three years of Administrative or Supervisor experience within an industrial, manufacturing, distribution, or military environment.
- Good written and verbal communication skills.
- Attendance/Performance must be in good standing.
Work Schedule:
- 1st Shift/Full-time, with flexibility for overtime as needed.
