Job Description
Position Summary:
This position will support an LMS client in the Twin Cities Metro Area. The Facility Administrator will have 2-5 years facility coordination experience and/or similar experience. This individual will be responsible for performing facility management activities. In addition the employee will assist in coordinating any outside facility service vendors unique to our client as a tenant. This positionis responsible to support light maintenance, repair, facility condition, and warehousing tasks at the facility. This position will also support lead warehouse/facilities positions and the facilities manager.
Essential Duties and Responsibilities:
All areas of responsibility listed below are essential to the satisfactory performance of this position, with reasonable accommodation, if necessary. Coordinate and provide building services to include: mail delivery, receive and deliver packages, paper/office supply support, receive incoming mail, sort and distribute mail to area departments in a timely manner, assist as day porter in catering functions. Any non-essential functions are assumed to be included in "other related duties asassigned":
Oversee timely distribution of overnight deliveries and packages to the addressee or departments
Occasional use of forklift to receive packages or to move to other buildings, certification provided
Be knowledgeable about Hazardous labels and symbols
Maintain spreadsheet for packages delivered to building, delivering packages and/or notifying employee(s) of a delivery for them
FedEx Administration help monitor shipping and users, locates and track packages, and assist users on shipping
Interface with building users and building management about proper operations of building equipment and structures. Coordinate related activities with building management.
Responsible for catering and room set-up of conference rooms, to include set-up of coffee, water and soda, etc. in professional setting
Fulfill requests for special room needs, meeting/training setups and special events to include providing special functions with presentation supplies and audio video equipment
Knowledge of multi-functional equipment maintain supplies, call for service, replenish printer supplies as needed, assist employees with machine functions and problems, log and track all service calls and supplies used
Maintain LCD projectors clean filters, change bulb, monitor bulb and filter hours, maintain inventory of bulb supplies
Maintain MESH spreadsheet for current vendor Certificate of Liability papers, contractor safety training records for vendors working on property, issue requests as needed
Develop and maintain monthly reports for client monthly meetings.
Assist Facilities Manager, monitoring building cleanliness, appearance is at its best during the workday, empty trash as needed, clean cafeteria area as needed, replenish supplies if needed, etc., safety awareness, manage miscellaneous office supplies, knowledge of division floor plans and safety and security procedures
Monitor building to assure safety, health, inform Facilities Manager of over-looked areas or special needs.
Monitor building grounds for cleanliness
Responsible for removal of snow/water, watering exterior flowers in season
Exercise good business judgment, initiative and creativity.
Maintain, update procedure manual as needed
Help Team Members as needed
Respond to and help Facilities Manager with other duties as needed
Qualifications/Requirements:
Reports to customer site full time.
Knowledge of UPS, USPS, FedEx, DHL and other mail/package carriers

Education/Experience:
Minimum High School Diploma or Equivalent.
2-5 years of industry experience in similar field or job duties.

Proficient with Microsoft Word, Excel, PowerPoint and Outlook software.
