Summary:
Under the supervision of the Director of Facilities and Administration, performs specialized tasks associated with building maintenance, ground maintenance, and administrative functions. Troubleshoots problem areas, resolving problems, and making recommendations for solutions to problems.
Job Duties & Responsibilities:
Provide administrative and facilities support to staff of owner-occupied corporate headquarters building located in downtown Washington, DC. Includes but not limited to:
- Coordinates service, maintenance, and repairs with building/facility vendors, service providers, and building amenities providers
- Assists in the preparation of space for new hires.
- Ensures new hire set-ups are completed before the hire date
- Manages access cards and biometric enrollment for staff
- Performs aspects of new hire orientations
- Communicates building information and policy changes to staff
- Coordinates with the Janitorial services team
- Coordinate furniture and equipment repairs, schedules, and deliveries.
- Submit and approve vendor invoices, both building operation and administrative.
- Manage ordering and inventory of:
- Office supplies, including paper and copier supplies
- Pantry supplies, including coffee inventory
- First aid and shelter-in-place supplies
- Vending machines
- Plant vendor
- Landscape vendor
- Off-site document management
- Coordinates with the building engineer, security, and cleaning supervisor on:
- Maintenance Requests
- Trash/Recycling
- Destruction/shredding
- Security Services, including badging and building access
- Building signage
- Assist in the coordination of office maintenance and support functions
- Assist with building events
- Provide support to other departments as needed.
- Provide backup coverage in the absence of the facilities team members
In the absence of the Director of Facilities, this position will be the main point of contact for all building-related issues and staff communications.
Qualifications & Skills:
- High School Diploma required
- At least two (2) years of experience in facilities/administration-related services in an office environment.
- Good organizational skills
- Strong interpersonal communication skills, bi-lingual English/Spanish a plus
- Good written communication, organization, and time management skills
- Positive attitude
- Team player
- Proactive
- Can work independently
