Purpose / Summary of Position:
HPI is seeking a Facilities Coordinator to work closely with the Property Manager and client to provide support for the organization. The Facilities Coordinator is responsible for the basic repair and maintenance at a mid-rise commercial office building.
Priority functions / Responsibilities:
- Onsite assistance and coordination working closely with the client, Property Manager, Chief Building Engineer, and cleaning staff responding to facility needs and services including contractor procedures and processes.
- Interface with client and client management at various levels on a daily/weekly and monthly basis developing positive relationships. Always display a friendly and courteous attitude. Never confront supervisor or other employees in front of tenants
- Plan, coordinate, and direct special projects as required, i.e. office buildouts, large group
- moves, activity/event set-up and breakdown, moving furniture, fixtures, office partitions, repairing locks, doors, hinges, furniture and misc. items, painting of all types of surfaces indoors and out
- Manage JIRA ticketing system, escalate and organize as needed
- Conduct comprehensive building inspections (site walks) of entire space daily and actively search for items needing improvement and make recommendations as needed. Keep grounds neat and free of litter
- Ensure COI’s are on file, correct and current vendors performing work are on site. Initiate vendor usage with HPI management
- Ensure all invoices are processed, coded correctly, and paid on time
- Maintain both hard and soft copies of building standards, specifications, and maintenance schedules for all service contracts
- Maintain Indeed owned/rented inventory of all facility items (furniture, appliances, etc.)
- Assist employees with ergonomic program
- Regional support assistance for others as needed
- Acknowledge and respond to all service requests by diagnosing and performing minor and routine maintenance/repair in a timely and professional matter. Strive to complete all requests daily and document requests and parts used in work order system
- Monthly inspection of fire extinguishers and other life safety equipment as required by building management
- Repair and maintenance of sanitary sewer systems, sump pumps, basins, toilets, urinals and piping, electrical and hydraulic systems
- Coordinate delivery and work schedules with vendors, contractors, and property management
- Maintain and organize building stock and supplies and inform supervisor of needed items
- Handle miscellaneous staff needs and client requests outside of common area building maintenance
Knowledge, Skills, and Abilities:
- 3-5 years of facilities management experience is required
- Previous experience with maintenance management systems
- Strong verbal and written communication skills
- Knowledge of building management and facility and maintenance operations
- Strong command of Excel/Word/Outlook, Gmail, and Google Suite
- Minimum GED/HS Diploma required
- Able to work independently and with a team with accuracy
- Sound organizational skills and attention to detail
- Willingness and interest in being a team player
- Strong customer service orientation
- Limited travel may be required in this position
- Be able and willing to carry 50 lbs., climb ladders, crawl in confined spaces and work in outdoor climate on a year-round basis
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
- Valid DL, satisfactory driving record
- Pass a background check
