THE POSITION: Facilities and Construction Coordinator
The Shade Store is seeking an organized and detail-oriented Facilities & Construction Coordinator to join our Facilities & Construction Department. We are entering a phase of aggressive growth, so this is an exciting time to join the team that builds, maintains, and supports our 140+ showrooms. The F&C Coordinator will be responsible for providing departmental support including a range of administrative functions. You will assist in all aspects of construction and maintenance of existing showrooms. RESPONSIBILITIES:
- Support our new showroom expansion by assisting in the process of product ordering and installation
- Monitor order process through installation and collect/file all documentation
- Assist with new showroom financials in Procore including PO requests, tracking, payment, and project close-out
- Responsible for Concur expense reconciliation and submittal for showroom permit fees
- Order showroom products and send out update request/emails to partners in Production and M&I in a timely and accurate fashion to ensure ‘Right First Time’ Installation.
- Ensure that turnover of new showrooms occurs with zero product on punch list
- Provide FF&E procurement support for workrooms and other TSS workroom and office locations.
- In addition to F&C, support procurement needs for IT, Fulfillment, Parts and Production and M&I
- Support our nationwide showrooms by responding to and tracking service requests
- Place and track orders through delivery for supplies, product and displays
- Follow up with showroom staff on all service requests to ensure and document completion
- Create and request purchase orders for projects and repairs/maintenance
- Function as a liaison between Facilities & Construction, internal departments, and outside vendors
- Maintain and update departmental files including weekly project trackers, ServiceChannel, site contact sheets, proposals, purchase orders, invoices, permits, licenses, and the showroom display, lease library and décor library
- Backup and assist team members as needed including occasional before and after hours and weekend support
WHAT WE ARE LOOKING FOR:
- High school diploma or equivalent required – associate or bachelor’s degree preferred
- 1-2 years relevant work experience
- Proficient in MS Office and web applications
- Experience with ServiceChannel preferred but not required
- Experience with Visual Lease
- Excellent customer service skills to facilitate interaction between internal teams and vendors
- Effective time management, organizational, and communication skills
- Self-starter with great attention to detail

The base salary for this role is $65-$70k, commensurate with experience.
