This position will support up to five Enterprise Technology Directors including Director, Solution Engineering, Business Automation Platforms; Director, Technology PMO and Executive Director, Product & Engineering, Identity & Access Management.
The successful candidate will be very comfortable working with administrative professionals, vendors, and technology professionals at all levels. Supporting multiple Executives can be demanding as all have busy schedules and often require meetings to be rescheduled on short notice. It goes without saying there will be expense reports, travel planning and calendar jockeying, but this job is very much about people, about forming strong relationships with your leaders and co-workers, and about understanding how to help your executives flourish. Your professionalism, loyalty and attitude are a reflection of your leaders and their teams, and, as such, are a critical component to the team’s success.
The candidate will be expected to work from the Orlando, FL office 4 days/week.
Responsibilities
Every day as an Executive Support Professional is different! On any given day, you might:
- Handle all administrative responsibilities for your executives, including but not limited to managing calendars, meetings, travel, and expense reports
- Ensure your executives are prepared for meetings and events; proactively review the day/week/month to anticipate and resolve calendar conflicts in a timely manner, blocking calendars for travel time and/or meeting prep time, as well as reserving resources (e.g., conference rooms) as needed
- Coordinate support (travel logistics, meeting rooms, catering) for team project events (e.g., workshops held over multiple days, project implementations) as well as smaller team events/celebrations
- Attend meetings, take notes, coordinate follow up action items
- Manage confidential correspondence and information with discretion
- Assist with onboarding new employees
- Work with the other administrative professionals located in the building to manage kitchen supplies, office supplies, and other office management duties
Basic Requirements
Here’s what you’ll need to be successful in the role:
- A minimum of 3 years’ experience supporting a large organization in an administrative role
- Proven success partnering and interacting with all levels of employees including executive leadership
- Strong proficiency with Microsoft Office programs (Outlook, PowerPoint, Word, Excel)
- Generally tech savvy and willing to learn new skills
- Ability to maintain absolute confidentiality
- Effective communication skills, including diplomatic and professional handling of communications across all platforms (e.g., email, messaging, phone)
- Ability to handle multiple competing urgent priorities and last-minute changes to previously planned schedules with a calm, professional demeanor
- Ability to be proactive, resourceful, flexible and responsible
- Extremely well organized and attentive to detail
Preferred Requirements
It would be a plus if you also had:
- Experience supporting individuals at the Executive level
- Experience with Microsoft Teams, Slack, SmartSheet, Zoom
- Experience at The Walt Disney Company
- Good knowledge of information technology and/or the technology industry landscape
