POSITION OVERVIEW
The Corporate Secretary & Executive Assistant performs various secretarial duties and administrative services for the Chairman & CEO and executive management. This position attends the monthly board of directors meeting, plans the annual board retreat, and records all board proceedings.
DUTIES AND RESPONSIBILITIES
· Manages the office area of the CEO, serving as administrator, secretary and receptionist.
· Composes and directs written communication to various people, both outside and within the financial institution.
· Processes letter of technical and confidential nature.
· Responsible for the physical flow of paperwork within the department, including filing, handling and dispersing incoming and outgoing mail, updating records, and compiling reports.
· Arranges appointments and meetings as requested by persons within and outside the financial institution.
· Assist with scheduling and preparation of meetings.
· Takes minutes at board of directors meetings and all official meetings as needed. Acts as official custodian of minutes and all proxies assigned by members.
· Screens telephone calls and visitors.
· Orders supplies, maintains office equipment, and tracks expenses for the same to submit for payment.
· Fulfill responsibilities under the Bank Secrecy Act and Anti-Money Laundering regulations. This includes identifying customers properly, initiating CTRs and SARs investigations as needed, utilizing OFAC records and maintaining appropriate records.
· Adheres to Bank’s policies and procedures and all Federal and State laws and regulations.
· Other duties as assigned.

EDUCATION AND QUALIFICATIONS
· High school diploma or equivalent education required. Some college preferred.
· Minimum three years of prior work related experience preferred.
WORKING ENVIRONMENT AND PHYSICAL ACTIVITES
· General office environment that requires the extensive use of arms, hands, and fingers.
· Frequently required to sit for extended periods of time, reach with arms and hands, stand, walk, stoop, talk and hear.
· May be required to lift and/or move up to 20 pounds.
