- Complete a broad variety of administrative tasks that facilitate the Executive's ability to effectively lead the organization
- Maintain Executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Scheduling personal appointments (medical, pets, cars, personal, home, maintenance, etc.)
- Strategically manage Executive's time with respect to the organization's priorities, goals, and objectives. This includes understanding important initiatives and managing calendars accordingly
- Prepare reports by collecting and analyzing information
- Represent the Executive by attending meetings in the Executive's absence, take accurate and comprehensive notes, and follow-up on action items from prior meetings
- Handle correspondence directed to managers
- Compile letters, notes, memos, emails, and documents
- Research, prioritize, and follow-up on incoming issues and concerns
- Manage Executive's email accounts
- Prepare presentations
- Review NDA's and other contracts
- Screen and direct phone calls
- Manage personal requests from the Executive such as running errands, bill paying, vacation planning, appointment setting, etc.
SCHEDULE:
- Monday-Friday from 7am-4pm
MINIMUM QUALIFICATIONS & REQUIREMENTS:
- High level of integrity due to dealing with sensitive and confidential information
- Ability to function autonomously and manage competing priorities
- Ability to independently execute instructions with great attention to detail and consistently produce work that is thorough and meticulous
- Ability to complete a high volume of tasks and projects with little guidance
- Proven ability to track and organize projects in a demanding environment
- Well-developed organizational skills
- Reliable transportation
- Proficient in Microsoft Office, specifically Microsoft Excel
- Good math skills and the ability to spot numerical errors
- Experience in bookkeeping and/or degree in accounting a plus
- Available to text/phone after hours, if needed
- Willing to respond to time-sensitive phone/email requests outside of normal business hours
