JOB DESCRIPTION

Job Title: Executive Coordinator
FTE: Full Time, 37.5 hrs/wk
Reports to: President and CEO
FLSA Designation: Exempt - Salary

SUMMARY

The Executive Coordinator is pivotal in providing comprehensive executive administrative support to Urban Land Conservancy’s (ULC) President and Chief Executive Officer (CEO). This role involves acting as a liaison with the Board of Directors and senior leadership team to facilitate seamless communication, coordination, and support the organization's strategic goals and mission.

DUTIES & RESPONSIBILITIES

The Executive Coordinator is a dynamic team player, working collaboratively with the senior leadership team and supporting the CEO in various capacities, including but not limited to:

Executive Support

  • Manage the CEO's daily administrative tasks, including organizing schedules, prioritizing meetings, and ensuring timely completion of essential projects
  • Act as the primary point of contact for the CEO, handling communication with internal and external stakeholders, Board members, and partners, screen and prioritize mail, email, and phone calls
  • Manage expense reports, travel arrangements, and logistical coordination for the CEO's external commitments
  • Facilitate smooth communication between the CEO and senior leadership team, ensuring effective collaboration and information flow
  • Draft communications on behalf of the CEO, with support as needed from ULC communications staff including support letters, presentations, slide decks, and other materials
  • Coordinate, schedule, and facilitate the agenda of senior leadership team meetings and events
  • Participate in strategic planning processes, supporting the CEO and leadership team in the development and execution of organizational goals
  • Maintain confidentiality of sensitive information, demonstrating professionalism and discretion in handling executive-level matters
  • Provide general administrative and coordination support to the leadership team, serving as a reliable and proactive member of the organization

Board and Committee Support

  • Serve as the administrative liaison to the board of directors, managing board activities, committees, coordinating all meetings, preparing meeting materials, and preparing board meeting minutes
  • Schedule and facilitate board meetings, retreats, tours, and other events
  • Serve as a subject matter expert on and facilitate updates to the organization’s bylaws, policies, and procedures

General Duties

  • Provide administrative support to the senior leadership team
  • Serve as back up to the office manager, handling tasks such as accepting packages, greeting visitors, and setting up meetings
  • Assist in event planning and coordination for the organization
  • Manage the technical aspects of in person, online, and hybrid meetings via Zoom, Microsoft Teams, Google Meets, and other meeting tools
  • Other duties as assigned

  • Nonprofit Governance Proficiency
  • Mastery of contemporary nonprofit board governance principles, practices, meeting procedures, and documentation requirements to contribute effectively to ULC's organizational governance.
  • Tech Savvy Meeting Facilitation
  • Expertise in facilitating and hosting in-person, hybrid, and remote meetings, with advanced proficiency in operating and troubleshooting the technical tools required for seamless virtual collaboration.
  • Digital Proficiency
  • Advanced ability to leverage essential software platforms, including Microsoft Office, Adobe Suite, Google Suite, Zoom, and other necessary tools for effective communication and task management.
  • Adaptability and Flexibility
  • Advanced ability to be flexible and adaptable in a dynamic work environment, adjusting seamlessly to changing priorities and addressing unexpected challenges with composure and efficiency.

PHYSICAL DEMANDS AND WORK ENVIRONMENTThis position may require:

  • Frequently required to be in a stationary position during scheduled work hours
  • Occasionally required to stand, walk, and exposed to outside weather conditions
  • Periodically required to attend ULC events outside normal business hours

QUALIFICATIONS

A combination of education and experience may be considered:

  • Associate’s degree in business administration, public administration, communications or related field, bachelor’s degree preferred.
  • Minimum of five years of relevant experience in the Duties and KSAV’s listed above, seven preferred.

REQUIREMENTS

  • Must have a valid driver’s license and be insurable
  • Must be punctual, reliable, and demonstrate a good work ethic

COMPENSATION

  • Salary range is $65,000-80,000 per year, as is commensurate with experience
  • 37.5-hour work week with options for alternative work schedules
  • Bi-weekly pay
  • Additional Benefits:
