Job description

Storagely is leading the self storage industry to rent differently with its pioneering online rental system that leverages built-in marketing tools and a reporting engine that is unmatched. As we continue to expand our reach and impact, we are looking for a highly organized, proactive, and dedicated Executive Assistant to support our CEO and COO. The Executive Assistant will play a crucial role in optimizing the efficiency of our leadership team. Having an impeccable attention to detail is a must. This position requires a blend of administrative prowess, communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will have a proven track record of supporting senior executives and a passion for the tech industry.

Responsibilities

Daily Cliff Notes: Create a daily summary of priorities, meetings, and tasks. Look ahead for projects that need to be on the radar. We should receive this before the start of the workday. These notes should also highlight any upcoming important meetings, events, or deadlines.

Calendar and Schedule Management: Schedule, change, and cancel internal and external meetings as needed. This may also include non-work calendar management.

Communication Management: Email, Slack, LinkedIn, etc:

  • Sort and triage all communications.
  • Draft, review, & send communications on behalf of CEO and COO.
  • Take action, delegate, or complete any task that you are able to.
  • Create a brief daily summary of any CC’s or important communications.
  • Summarize sales meetings and organize notes.
  • Serve as a central point of contact between the CEO/COO and internal/external stakeholders. Screen and direct incoming calls, messages, and requests to the appropriate parties.

Preparation: Help our CEO/COO be prepared for upcoming meetings by making sure that we have the necessary information ahead of time. And if we are missing key details, find the answers and/or postpone the meeting.

Prioritize: Assist by helping to prioritize and re-prioritize tasks based upon any new urgent or important task. Determine priority of matters of attention; redirect matters to the team to handle, or handle matters personally, as appropriate.

Trade Shows:

  • Registration: Complete any event ticket, SSA associations, etc. Order any resources that we need at the trade show.
  • Travel Arrangements: Research and book all travel arrangements for all team members who are traveling for the business. This includes such items as flights, hotels, etc.
  • Shipping: Organize the delivery of any and all items necessary for all events such as trade shows.
  • Orders: Purchase and organize any materials such as materials for trade shows, new employee equipment, apparel, etc.

Confidentiality: Keep sensitive matters with a high level of confidentiality and discretion, especially details or decisions that could impact other team members or customers.

Expense Management: Track and reconcile the CEO/COO’s expenses, ensuring accuracy and compliance with company policies. Prepare regular expense reports for approval.

Research and Analysis: Conduct research on industry trends, competitors, and other relevant topics. Provide summarized findings and recommendations to the CEO/COO..

Event Planning: Organize and COOrdinate company events, conferences, and executive meetings. Manage logistics, invitations, and follow-up activities.

Minimum Requirements:

  • Must be a self-starter, taking initiative to proactively check-in and provide updates to the direct supervisor
  • Must be highly organized and detail-oriented
  • Ability to think ahead and plan for the future while being flexible with changes in project scope, direction, contents, etc.
  • Some technical skills or familiarity with marketing, business and market development, market research and planning, and promotions/advertising are preferred but not required
  • Must be able to work independently, simultaneously managing own assignments and monitoring progress of teamwork
  • Must have strong interpersonal skills, good judgment, and be capable of communicating with a diverse range of individuals
  • Excellent computer skills including email, Google Suite (Drive, Docs, Calendar, Sheets, and Slides).
  • Must have strong customer support orientation (for internal/external customers), demonstrate professional demeanor, and the ability to maintain confidential information
  • Must have excellent written and verbal communication skills

Salary: Salary will be determined by skills and experience. If you are living abroad the salary range will be adjusted accordingly to the country you reside in.
