In Learning Technologies and Spaces, we design, implement, provision, operate, and support an ecosystem of platforms, tools, and services as well as technology-rich classrooms and learning spaces for our Stanford community. Our aim is to provide great experiences for faculty and students in the use of instructional technology and classrooms to create engaging and accessible learning experiences for our students.
We are seeking an experienced Executive Assistant to provide complex and diversified administrative support to our team. We are looking for a motivated professional who will anticipate the needs of the leadership team and proactively solve problems and/or independently handle issues. This role will occasionally perform routine financial and facilities tasks as needed.
The position will report to the Associate Vice Provost, Learning Technologies and Spaces with a dotted line to the Director of Finance and Administration.
In this role, you will:
- Plan and schedule complex calendar(s) with limited or no consultation and resolve calendaring conflicts. Negotiate and manage the needs of individuals or groups requesting time with the AVP, independently committing his/her time.
- Work with the AVP in regards to establishing priorities and identifying and resolving problems that are administrative in nature. Use independent judgment to keep AVP informed of all matters that require his/her attention.
- Provide backup support to the Finance and Administration team as needed. Tasks may include financial transactions, expense reports, and facilities requests.
- Provide administrative support to the AVP and his/her leadership team for complex meetings, team events, catering, and business travel in compliance with unit, university, and sponsor policies.
- Plan agenda for AVP staff meetings; take notes, record and follow up on action items and deliverables. Work with the AVP and leadership team to prioritize activities.
- Manage multiple projects simultaneously. Anticipate and track initial dates, events, and associated action items; follow up with appropriate parties on behalf of AVP to ensure deadlines are met.
- Serve as the department Time and Leave Administrator, ensuring compliance with university policies and overseeing timely and accurate pay period reporting.
- Solicit content for, edit, and publish the monthly LTS newsletter.
- Other duties as assigned.
Minimum & Preferred Qualifications:
Education and Experience:
High school diploma and five years of relevant experience or a combination of education and
relevant experience.
Knowledge, Skills and Abilities:
- Demonstrated high-level administrative experience which includes advanced computer skills and demonstrated experience with office software and email applications.
- Excellent verbal and written communication skills, including editing and proofreading.
- Excellent planning and organizational skills.
- Ability to take initiative and ownership of projects.
- Demonstrated ability to handle sensitive issues and maintain confidentiality.
- Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy, and tact.
- Ability to multi-task, adapt to changing priorities and meet deadlines.

PHYSICAL REQUIREMENTS*:
- Constantly perform desk-based computer tasks.
- Frequently sitting.
- Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
- Rarely twist/bend/stoop/squat, kneel/crawl.
WORKING CONDITIONS:
This is a hybrid position requiring at least three days of onsite work per week and more as needed to meet student and departmental needs.

The expected pay range for this position is $39.42 to $45.67 per hour
