Job Description
Under the direction of the Chief Human Resources Officer (CHRO), this Executive Assistant performs advanced, diversified, and confidential duties that are administrative in nature or project based. The work requires broad and comprehensive experience as an executive-level assistant, and a strong grasp of either NREL policies and practices or experience in a large, complex research and development institution. This role prepares correspondence, reports, presentations, and more. In addition to directly supporting the CHRO, this position will work collaboratively with other Executive Assistants supporting NREL's Leadership Team to meet objectives and provide consistent support.

Responsibilities:
  • Provide complex, timely, and accurate senior-level administrative support to the Chief Human Resources Officer (CHRO).
  • Support peer Executive Assistant team members and attend peer administrative meetings as required.
  • Complete a wide variety of executive level task-oriented activities, including but not limited to, Directorate meetings / VIP & Government liaison event coordination, employee onboarding, interview coordination, generating financial reports, invoicing, and requests for payment, creating, and overseeing complex foreign and domestic travel requests and expenses. Manage and/or monitor various tasks and information with a high level of confidentiality.
  • Perform work assignments with a high degree of independence, determining work priority and procedures.
  • Handle sensitive and proprietary information while maintaining a high degree of confidentiality and professionalism.
  • Plan, implement, improve, and develop administrative and business systems and procedures to enable smooth and compliant operation of the Office of the CHRO.
  • Manage the CHRO's calendar, schedule meetings, coordinate travel arrangements, expense processing, reimbursements, and external phone or email communication to the Office of the CHRO.
  • Plan and implement executive level meetings (both internal and external to NREL) including action items follow-up and other activities.
  • Work closely with the senior HR leadership team in completing products and deliverables, such as preparing and submitting approved executive-level documents and presentations.
  • Draft correspondence for response to internal and external inquiries and independently respond to and appropriately route requests.
  • Support HR events by selecting food menus, coordinating visitor access, and scheduling facilities.
  • On a scheduled rotation basis, provide office coverage and phone coverage for the Directorate main incoming phone line and partner in light kitchen and mail distribution duties. Also serve as a monthly liaison on a rotational basis. Duties include facilitating the bi-weekly EA team meetings and setting the agenda, ensuring office coverage schedule rotation is adhered to during that month and reaching out to the LT Liaison regarding EA rotation schedule concerns or questions.
  • Executes assignments in area of responsibility with very general direction and oversight using some independent judgment and decision-making in setting objectives and deciding how to proceed. Work is reviewed for soundness of judgment and overall adequacy and accuracy.

Basic Qualifications
High School Diploma or equivalent and 4 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope and 2 or more years of experience or equivalent relevant education/experience. Considerable knowledge of specialized focused business support functions. Complete understanding of the general and detailed aspects of the business support activities, and their practical applications to problems and situations ordinarily encountered. Experienced skills in applicable software packages and office equipment. Demonstrated project administration skills. Full knowledge of specific principles, procedures and practices related to supported fields and disciplines. Strong written and verbal communication skills, team and interpersonal skills.

Preferred Qualifications
  • Considerable understanding of business support activities in human resources.
  • Demonstrable experience providing business and administrative support to executive level staff.
  • Previous exposure to business support activities in a government lab research environment.
  • Strong inclination to take initiative to make process improvements.
  • Takes initiative in their own professional development.

Preferred Qualifications
Annual Salary Range (based on full-time 40 hours per week)
Job Profile: Business Support / Annual Salary Range: $71,300 - $117,600
NREL takes into consideration a candidate's education, training, and experience, expected quality and quantity of work, required travel (if any), external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees. In compliance with the Colorado Equal Pay for Equal Work Act, a potential new employee's salary history will not be used in compensation decisions.
