JOB TITLE: EXECUTIVE ASSISTANT
REPORTS: TO CEO
FSLA STATUS: Full Time, Exempt
LOCATION: Boulder, CO

EXECUTIVE ASSISTANT SUMMARY
Under the supervision of the CEO, the Executive Assistant is responsible for assisting in
day-to-day operations of the Chief Executive Officer by maintaining and managing the CEO's
calendar, emails, scheduling meetings, as well as other duties assigned. This position will ensure
that interactions, interventions and environments at TGTHR are trauma informed and
emphasize the physical and emotional safety of youth and staff. This is a full-time, hybrid
position. The typical work schedule is Monday - Friday; 9:00 a.m. to 5:00 p.m. This position may
require some weekends and/or evenings to support the needs of the agency.
This position is based out of our Boulder office, supporting three Boulder locations, and one
Denver location.
Requirements
ROLE RESPONSIBILITIES
  • Provides administrative support to CEO to include filing, processing invoices, coding expenses, completing expense reports, coordinating contract review,
  • Acts as first point of contact to the CEO
  • Manages CEO email and mail inboxes, including reading and responding on CEO's behalf as appropriate.
  • Creates and distributes meeting agendas.
  • Records, distributes and files meeting minutes for internal and external meetings
  • Drafts letters, emails and other communication in appropriate tone to reflect the voice of the CEO.
  • Provide calendar management, prioritizing inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Works closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
  • Set-up and prepare meetings involving the CEO, including meal/food requests, room reservations, AV equipment, etc.
  • Primary point of contact for various staff meetings including establishing and sending agendas, planning for future agendas, scheduling speakers, planning agendas, and ensuring appropriate communication in advance and follow-up from meetings.
  • Coordinate and book CEO and other key staff travel.
  • Prepare various presentations as requested.
  • Maintain working knowledge of daily operations of TGTHR.
  • Ensures that the CEO's bio is kept updated and responds to requests for materials regarding the CEO and the organization in general.
  • Maintains discretion and confidentiality in relation to all aspects of assigned duties.
  • Ensure TGTHR's administrative offices have the materials and equipment necessary to run efficiently
  • Other duties as assigned.

Board of Directors Management
  • Acts as liaison with the Board of Directors.
  • Prepares and distributes Board packet and agenda prior to board meetings.
  • Coordinates all Board-related logistics for remote and in-person meetings, including but not limited to food purchase and preparation, printing, scanning, organizing, etc.
  • Manages board communication, annual board schedule for all committees and full board.
  • Manages new board member onboarding and annual board commitment paperwork
  • Maintains official record of all board meeting minutes, follows Roberts Rules of Order for Board meeting documentation.
  • Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
  • Maintains discretion and confidentiality in relationships with all board members

Project Management
  • Plans, coordinates and executes small to mid-size projects as directed by the CEO.
  • Coordinates with the Leadership Team and other staff members on meeting schedules, project assignments and follow up; ensuring projects are running smoothly and remaining on track to meet specific deadlines.

  • Actively strive to create and maintain a culturally sensitive, trauma informed and appropriate environment through communication and interaction that demonstrates respect for diversity; while promoting the philosophy of trauma informed care in interactions with youth, staff and individuals both internally and externally.
  • Support positive youth development and youth involvement in decision-making processes.
  • Perform all tasks and responsibilities in a manner that delivers culturally competent programming.

PROFESSIONAL QUALIFICATIONS & REQUIREMENTS
  • Bachelor's degree or equivalent experience in a related field.
  • Previous management experience required.
  • Commitment to continued education of social justice, especially the intersection of youth homelessness and race, sexuality, gender, ability, and socioeconomics.
  • Meticulous attention to detail and very good at troubleshooting.
  • Ability to sit for long periods of time while also performing typing duties
  • Ability to lift a minimum of 30 lbs.
  • Ability to lift, bend, stoop, kneel, crouch, push and other strenuous activities.
  • An ability to multi-task and quickly shift between all facets of the job.
  • Experience and comfort with public speaking.
  • Strong verbal communication, written communication, and interpersonal skills.
  • Able to understand and respect the importance of confidentiality.
  • Willingness and ability to work in a dynamic environment, in a team setting.
  • Strong computer skills, including GSuite, word processing, spreadsheet, and presentation software.

Preferred:
  • Previous experience as an Executive Assistant
  • Bilingual, Spanish preferred.

BENEFITS AND COMPENSATION Salary Range: $65,669 to $74,687/yr.
