Washington County Health and Human Services (HHS) is searching for an Executive Assistant to join our Director's Office! This position supports the HHS Director and Assistant Director by providing confidential and complex administrative support with professionalism, diplomacy, and independent judgment.

The Opportunity
In this role, you will help coordinate and maintain department information and communication to HHS staff as well as other departments, including the County Administrative Office and other internal service areas (e.g., Human Resources, Finance, Facilities, and ITS). To be successful in this role, you will be comfortable and experienced using discretion in responding to politically sensitive and confidential issues. You will have the opportunity to demonstrate your strong skills in file management, organization, business writing, and customer service. This position is eligible for a hybrid work schedule, including 1-2 days/week of remote work.

The ideal candidate for this position thrives on organizing and streamlining work systems for executives and their jam-packed calendars and agendas. They will also have exceptional organization and time management skills, superb attention to detail, and the ability to utilize technology and other tools to facilitate the highest execution of those skills. They are familiar and experienced with the Microsoft 365 products and other modern office programs, including Adobe Pro and Smartsheet, and/or have the ability to learn new software quickly.
Additionally, they will have strong communication and interpersonal skills that support building positive and collaborative relationships internally and externally. This includes the ability to navigate the political environment and work effectively with elected leaders, county leadership, constituents, community-based organizations, and the public.

As the HHS Executive Assistant, on any given day, you may find yourself:

  1. Thoughtfully coordinating calendars, schedules, and events and ensuring the cadence meets the goals of department leadership.
  2. Performing confidential functions for the HHS Director and Assistant Director, including composing, reviewing, proofreading, and editing correspondence such as disciplinary actions, meeting agendas, and minutes.
  3. Composing, proofreading, editing and contributing to other written materials including documents for the department to present to the Board of County Commissioners (BCC).
  4. Communicating and collaborating with department leadership, County leadership, elected officials, and the public.
  5. Supporting department events and initiatives related to HHS priorities, including strategic planning and all-staff meetings.
  6. Applying independent judgment and decision-making skills to resolve complex issues including administrative and office practices, procedures, systems, and workflow processes.
  7. Maintaining HHS policies and procedures, including proofreading and editing.
  8. Ordering supplies and coordinating use of technology such as virtual meetings, pool equipment, etc.

Education and Experience:
Candidates must meet one of the following criteria to be considered for this position.
  • A Bachelor's Degree in Public or Business Administration, English, Communications, or a related field, AND four (4) years of administrative and office management experience providing confidential support to an executive office.
    OR
  • An associate degree in Public or Business Administration, English, Communications or a related field, AND six (6) years of administrative and office management experience providing confidential support to an executive office.
    OR
  • Eight (8) years of administrative and office management experience providing confidential support to an executive office.

Selection Process
