Job Description
The Executive Assistant to the CEO provides executive, administrative, and development support the Excutives of DTFS. The Executive Assistant serves as the primary point of contact for internal and external topics concerning all matters pertaining to the Finance and Controlling departments. The Assistant serves as a liaison to DTFS, DTNA and DT senior leadership teams; organizes and coordinates executive outreach and partner relations efforts as well as special project coordinator
Arranging complex and detailed travel plans, itineraries and agendas, including international travel and meetings - Maintains internal master calendar - Audits expense reports on behalf of the manager, ensures that expenses are in line with company policy & guidelines
Assist & support FC workshop logistic for US CA MEX participants - Supports projects & monitors budget - Supports procurement processes and systems
Communicates with employees at levels of the organization on CEO's behalf and coordinates logistics with high-level meetings both internally and externally - Coordinates meetings & events for the ExCom, Senior Leadership Team, and other employees groups as needed - Drafts reports, letters, proposals; prepares and coordinates communications on behalf of the CEO’s
Strong interpersonal skills and the ability to build relationships at with stakeholders, including employees, Executives, and brand partners Proficiency in Windows, including MS Word, EXCEL and PowerPoint.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Experience providing support for upper-level management in a related organization (i.e., population, social sciences, public health).
Ability to learn new software and digital tools
Ability to conduct research and present data in a succinct and well-written manner
Ability to work independently and with professional discretion and manage confidential information Excellent writing, editing, grammatical, organizational, and research skills
Ability to work with a broad range of people
Excellent time-management, and problem-solving skills
Minimum 3 years of experience in similar executive support role
PC Skills: Microsoft Office Suite
HS Diploma Required
Bachelor’s Degree is Preferred
Must be able to work varying hours as support may be needed across different time zones/countries
