Key Responsibilities:
- Manage the President’s calendar, schedule meetings, and ensure smooth transitions between daily appointments.
- Handle correspondence, including email management, categorizing, prioritizing, and responding to messages.
- Prepare and organize necessary materials for meetings and provide reminders and updates to the President.
- Conduct task management, ensuring tasks are completed and updated.
- Attend key meetings for notetaking, distributing action items, and following up on task completion.
- Perform administrative duties such as document editing, data entry, printing materials, and registering for events.
- Manage personal and professional errands including meal pickups, grocery shopping, dry cleaning, and car maintenance.
- Coordinate travel arrangements, personal appointments, family events, and company social functions.
- Oversee the coordination and planning of annual events, including the company Christmas party and picnic.
- Coordinate and repair for employee appreciation events such as Wine Tasting Wednesday and bi-monthly Traeger Lunches.
- Maintain memberships and subscriptions.
- Order supplies, manage office spaces, home management, rental management, and coordinate maintenance as needed.
Skills:
- Exceptional time-management and organizational skills.
- Strong verbal and written communication abilities.
- Adaptability to dynamic schedules and tasks.
- Proficiency in Microsoft Office Suite.
- Ability to multitask and prioritize in a fast-paced environment.
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Experience in handling a wide range of administrative and executive support-related tasks.
- Ability to work independently with minimal supervision.
- Discretion and confidentiality are paramount.
- High degree of discretion and a commitment to maintaining confidentiality.
- 3-5 years equivalent experience.
