Pay Range
$59,700.00-$82,100.00 Annual
This is the base salary pay range that an applicant can expect to make upon hire. Pay within this range will vary based upon relevant experience, skills, and education among other factors. In addition, this position is eligible for an incentive bonus.
The primary purpose of the Executive Assistant's position will be to proactively provide confidential administrative support to the President of Engineered Products and the EP executive leadership team to ensure business activities are coordinated and run smoothly. Prepare all relevant weekly, monthly, quarterly, and annual reporting; coordinate travel, meetings, calendars, projects, initiatives, contracts, invoices, and presentations so they are completed professionally, timely and accurately.
Your Day-to-Day:
  • Maintain highly confidential information
  • Interface/liaison with internal/external customers, suppliers, plants, sales reps, and technical personnel; manage requests for administrative assistance and scheduling meetings
  • Work closely with EP's European teammates to coordinate business activities
  • Prepare all weekly, monthly, quarterly, and annual reports, including President's weekly report, weekly contract update, quarterly EP priorities, and President's travel log.
  • Prepare all corporate-wide presentations (Strategic Plan, Succession Planning, Annual Operating Plan, etc.)
  • Prepare EP's annual operating rhythm calendar and manage calendars/schedules for EP management including prioritization of corporate and EP business meetings, tradeshows, and global holidays.
  • Organize, schedule, cater, and coordinate meetings and conference calls globally and plan off-site events, including teambuilding and employee recognition events
  • Schedule, organize, and publish agenda for the monthly Business Review and Town Hall communication meetings and other miscellaneous meetings; maintain associated distribution lists
  • Coordinate travel itineraries across the business and book heavy executive domestic and international travel for the President and executive leadership team
  • Establish, implement, and maintain standard office processes and present recommendations for improvement when possible
  • Manage office floor plan and coordinate personnel office moves
  • Organize and schedule interviews for open positions, assist with new hire on and off-boarding, including ordering equipment and phones.
  • Manage conference rooms, printers, and order/maintain office/kitchen supplies
  • Create purchase orders and check requests, track and pay invoices, coordinate approvals of European invoices, and assist in the preparation of budgets, as needed
  • Update EP organizational charts and provide JM portal content administration
  • Prepare and submit timely expense reports, maintain current knowledge of all global travel and expense policies for both T&E and Purchasing cards
  • Partner with EP sales personnel to coordinate the processing and approval of JM / customer contracts; understand all necessary components of a fully executed contract and manage the overall process via e-signature software, in conjunction with JM Legal. Maintain EP's fully executed customer contract file
  • Assist with obtaining international Visas, Passports, and other preferred travel programs (Global Entry, TSA), and prepare Customs letters
  • Processing, organizing, and file management of various documents
  • May be required to perform other related duties as assigned

What You Bring to the Team:
  • Bachelor's degree or equivalent work experience with a minimum of 5 years of business assistant or executive administration experience
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook
  • Strong prioritization, flexibility, multi-tasking, and organizational skills
  • Thorough knowledge and/or experience with electronic signature software, expense reporting systems, and online travel reservation systems
  • Working knowledge and experience with SAP/Supplier Relationship Management (SRM) system
  • Excellent interpersonal, verbal, and written communication skills
  • Ability to work beyond standard business hours
  • Demonstrated ability to understand financial statements
  • Working knowledge of the Engineered Products industry, divisional products, and processes
  • Demonstrated ability to work toward continuous improvement in processes and reporting
  • Ability to work independently and in a team environment
  • Ability to work and interface at all levels of the organization, both internally and externally
  • May be required to lift, carry, push or pull up to and including 25 pounds
  • Minimal travel required (0 - 10 days per year)
  • Work environment is typical of an office setting
