Job Overview:
We are seeking a motivated and energetic individual to join our fast-growing damage restoration and construction company as an Executive Assistant/Administrative Assistant. You will report directly to the CEO. In this role, you will be responsible for various administrative tasks, including email and phone call scheduling, job site visits, assisting employees and customers, and providing support in a high-energy environment. Proficiency with CRMs and software organizations would be a plus. You will be responsible for various tasks within New England Water Remediation, Restore Like Before and various real estate holdings.
Responsibilities:
Email and Phone Call Scheduling:
- Manage and prioritize email correspondence, ensuring timely responses and appropriate follow-ups.
- Schedule appointments, meetings, and conference calls for team members, both internally and with clients and vendors.
- Maintain calendars and coordinate schedules efficiently to optimize productivity.
Job Site Visits:
- Conduct occasional job site visits to gain an understanding of ongoing projects, observe progress, and address any concerns.
- Collaborate with project managers and field staff to ensure smooth operations and provide necessary support.
High-Energy Environment:
- Thrive in a fast-paced and dynamic work environment, adapting quickly to changing priorities and demands.
- Prioritize tasks effectively and multitask efficiently to meet deadlines and exceed expectations.
Employee and Customer Support:
- Assist employees with administrative needs, such as preparing documents, coordinating travel arrangements, and maintaining records.
- Provide exceptional customer service by addressing inquiries, resolving issues, and ensuring customer satisfaction.
- Utilize basic video editing skills to create and edit promotional videos, training materials, and other multimedia content as needed.
- Assist in capturing footage of projects, events, and testimonials to showcase the company's work and enhance its marketing efforts. Familiarity with CRMs and Software Organizations:
- Utilize CRM software and other organizational tools to maintain accurate records, track customer interactions, and support efficient workflow.
- Collaborate with the team to identify and implement software solutions to streamline administrative processes.
Requirements:
- Previous experience in an administrative role, preferably in the construction or related industry.
- Exceptional organizational and time management skills with the ability to handle multiple tasks simultaneously.
- Strong interpersonal and communication skills to interact effectively with employees, customers, and stakeholders.
- High energy level and ability to thrive in a fast-paced environment, adapting quickly to changing priorities.
- Basic video editing skills and familiarity with video editing software.
- Proficiency in using CRMs and other software applications for organizing and managing administrative tasks.
- Detail-oriented mindset with a commitment to accuracy and quality.
- Proactive and self-motivated approach to work, demonstrating initiative and the ability to work independently.
