  • POSITION SUMMARY
    List the main purpose of the job, consisting of no more than two or three sentences. Provide enough information to differentiate the major function of the job from those of other jobs.
    • To provide support in the day-to-day office operations of the Operational Excellence Team and Senior Executives, serving as an extension of the Executive(s) in dealing with colleagues, community, and associated teams. Upholds lean leadership behaviors and respect for people while displaying a growth mindset for continuous learning.
  • PRIMARY DUTIES AND RESPONSIBILITIES
    List no more than 15 core functions of the position. It is not necessary to list every task to be performed unless it is a primary duty of the job. Begin each statement with an action verb. Include what is done (action), how it is done (procedures), why it is done (purpose).       • Manages and oversees the Executive(s) office.
      • Manages all calendar scheduling for the Executive Leaders and Team, assuring accuracy and timely input, as well as the preparation and availability of meeting materials.
      • Manages on-boarding for new team members.
      • Coordinates all oral and written office communications. Screens, determines and follows-up appropriate disposition of communications. Consults with and informs appropriate persons of situations requiring attention while exercising sound judgment with a high-level of confidentiality and sensitivity. Maintains the Executive(s) files.
      • Performs routine typing, transcribing, minutes, and confidential assignments as required.
      • Works cross-functionally with the Executive Assistant team, provides coverage and project support as required.
      • Maintains a high-level of communication with the members of Senior Management to assure the timely and accurate sharing of information.
      • Provides guidance, mentorship, and support to Administrative Assistants I and II.
      • Responds to all patient complaints, concerns and inquiries and ensures follow-up by the Patient Liaison or other personnel as appropriate.
      • Approves and processes all weekly departmental payroll through Kronos.
      • Manages Administrative Residents or Interns onboarding plan and respective scheduling and connection to the wider team of colleagues.
      • Develops contracts (ie., employment, consultative services) for review by the Legal Department.
      • Manages the corporate record keeping for all assigned Elliot Health System subsidiary corporations. Ensures that lawfully required meetings occur (ie., Board of Directors/Trustees, Subsidiary Boards and Committees, Management) to include maintaining and scheduling the meetings, coordinating, preparing and distributing agendas, presentations and meeting minutes.
      • Manages and coordinates travel arrangements for the Executive(s) and others including air, hotel, ground transportation and other accommodations as required.
      • Develops and collaborates in the creation and regular updates of the annual non-salary expense fiscal year departmental budgets.
      • Manages and oversees corporate card expenses.
      • Approves and reviews expenses within the department; coordinates the timely processing of vendor invoices and check requests.
      • Manages special events and projects. Initiates and completes all required contracts needed for special events.
      • Maintains and ensures hospital license for State of New Hampshire as well as other accrediting agencies are up to date.
      • Maintains appropriate supply level of materials in a normal inventory and utilizing kanban systems where appropriate; completes ordering of special supplies/items. Performs filing and photocopying duties.
      • Assists with all accreditation and certification surveys and serves as an internal auditor for the organization as capacity allows.
      • Provides administrative assistant to various committees including Quality Management Oversight Committee for Elliot.
      • Performs miscellaneous duties including ordering flowers; coordinating meeting arrangements with food service functions, IT and audio-visual needs and reserving various conference rooms as required.
      • Ensures confidentiality of employee, legal, client/patient, budget and all company matters.
      • Supports the internal management system of the team.
      • Actively pursues new technology, skills, or tools to enhance team or individual effectiveness.
      • Participates in team-based engagement activities.
  • POSITION QUALIFICATIONS
    Minimally Required: The minimum required to perform the essential duties of the role.
    Preferred: These are not required to perform the basic functions of the role.
    • Education - Formal education (e.g. High School Diploma, Bachelor's degree, graduate of an accredited program)
        • Associate degree or equivalent experience required. Bachelor's degree preferred.
    • Licensure/certification - Include due date if licensure/certification is required after hire.
        • Lean and project management certification preferred.
    • Experience - Number of years and type of directly related work experience (e.g. 2-4 years of accounting experience)
        • At least five (5) years in a corporate, multi-divisional organization and fast-paced environment where multi-tasking is critical.
    • Knowledge - Commonly known principles to execute the duties of this job.
    • Skills - Measurable learnings (e.g. Intermediate level of Excel and Word)
        • Advanced skills in Microsoft Office products (e.g., Word, PowerPoint, Excel, Teams, Visio, PowerBI, Outlook, etc.), Adobe pro, Survey Monkey, Canva, Smartsheet, and Zoom
    • Abilities - Demonstrated learnings(e.g. Ability to multitask and prioritize assignments)
        • Knowledge of office management principles, methods, and procedures.
        • Ability to apply lean and continuous improvement methods and tools.
        • Ability to maintain a high-level of confidentiality.
        • Ability to manage and prioritize multiple assignments and endure periods of elevated stress.
        • Strong organizational skills.
        • Ability to maintain accuracy and attention to detail.
        • Ability to communicate effectively, both orally and in writing.
        • Growth mindset with the demonstration of continuous learning.
