Job description

Summary

The Executive Project Assistant is responsible for supporting the Chief Technology Officer in the successful operation of the Technology organization. This individual will provide support across a variety of tasks including on-boarding activities, meeting coordination, travel and expense reporting, training, purchasing, project management, and overall administrative support. The Executive Project Assistant is also responsible for supporting the R&D, Strategic Initiatives, Innovation, Operations, and Quality teams and their respective leaders as direct reports to the CTO.

Primary Responsibilities

  • Provide executive-level administrative support to the CTO
  • Prepare and plan travel and subsequent expense reports for the CTO
  • Plan and coordinate regular team meetings, including weekly Technology staff meetings.
  • Partner with the CTO to plan and run quarterly Technology strategy meetings and Talent Summits
  • Partner with the CTO and staff to plan and run monthly R&D project reviews, Quarterly Management Reviews, Quality Data Reviews, Monthly Operating Reviews, and Quarterly Portfolio Reviews
  • Assist with onboarding and training support for new leaders
  • Support engineering and quality documentation preparation and approval routing
  • Support AOP management, and monitor expenses and communications to ensure for budget adherence and compliance with key policies
  • Provide administrative support to the Technology leadership team, and general support to the technology organization
  • Provide project management support for administrative projects in the Technology Organization

  • Knowledge of Outlook and Microsoft Word, Excel and PowerPoint is required
  • Minimum of 10 years of executive administrative support experience recommended
  • Medical device experience preferred
