Who we are looking for:
We are seeking an experienced and highly organized individual to join our team as an Executive Assistant to provide comprehensive support to our Chief Executive Officer (CEO), Conquer Cancer, the ASCO Foundation. This position is hybrid with a primary location in Alexandria, VA.
Responsibilities
Executive Assistant to Conquer Cancer Chief Executive Officer
Provide executive assistance to Chief Executive Officer (CEO) by performing a broad variety of complex administrative tasks and projects as assigned.
Maintain confidential and sensitive information with discretion.
Manage internal and external correspondence.
Proactively manage calendar and complex scheduling.
Schedule and coordinate meetings, develop and provide participants with pertinent background materials to include objectives, agendas, and all relevant materials to be reviewed in preparation of meetings.
Collaborate internally/externally to conduct research and gather information to assist in preparation of reports, presentations, and other documents.
Keep CEO well informed of commitments, responsibilities, and critical information they may not be aware of, with appropriate follow-up.
Complete expense reports, including corporate card reconciliation for Chief Executive Officer .
Coordinate end-to-end travel arrangements, including hotel accommodations, directions, commuting time, ground transportation, and other travel logistics.
Conquer Cancer Administrative Operations Support
Support daily operations through collaboration with division leadership, performing an array of complex administrative tasks, including but not limited to managing calendars, generating correspondence, agenda preparation, creating PowerPoint presentations, taking minutes, maintaining database and archives.
Serve as Onboarding Coordinator for new hires, maintain org charts and other onboarding documents.
Coordinate with Facilities for onsite office needs.
Reconcile monthly credit card and business-related expenses for corporate credit card.
Provide research and support for special projects, as needed.
Required Education and Experience
Bachelor's degree in related field or equivalent years of experience
5+ years related experience supporting C-suite executives.
Experience with managing executive calendars and time keeping tasks and travel order processing procedures
Experience in the preparation, crafting and editing of executive-level and technical correspondence
Advanced proficiency with Microsoft Office Suite applications, including Word, Excel, PowerPoint, and Outlook, and virtual meeting platforms.

Work Environment
HQ based, onsite 2-3 days a week, or as needed.
