Position Overview: We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive support to the President of the company. The ideal candidate will have a minimum of 7 years of Executive Assistant experience, exceptional organizational abilities, impeccable communication skills, and the ability to thrive in a fast-paced and demanding environment.
Responsibilities:
- Administrative Support:
- Manage and maintain the President's schedule, including coordinating meetings, appointments, and travel arrangements.
- Screen and prioritize incoming communications, including emails, phone calls, and correspondence, ensuring that urgent matters are addressed promptly.
- Prepare agendas, materials, and presentations for meetings, ensuring the President is well-prepared and briefed on upcoming commitments.
- Handle confidential information with discretion and professionalism.
- Communication Liaison:
- Serve as the primary point of contact between the President and internal/external stakeholders, including clients, partners, and staff.
- Draft, proofread, and edit correspondence, reports, and other documents on behalf of the President.
- Facilitate effective communication flow within the executive team and across departments.
- Project Management:
- Assist the President in managing various projects and initiatives, ensuring deadlines are met and objectives are achieved.
- Coordinate cross-functional teams and facilitate collaboration on key projects.
- Track action items and follow up on outstanding tasks to ensure timely completion.
- Information Management:
- Organize and maintain files, records, and documents, both in physical and electronic formats.
- Conduct research and gather information as needed to support the President's decision-making process.
- Stay informed about industry trends, company developments, and relevant news to provide timely updates and insights to the President.
- Special Projects:
- Take on special projects and assignments as delegated by the President, demonstrating flexibility and willingness to contribute to the overall success of the organization.
- Proactively identify opportunities for process improvement and implement solutions to enhance efficiency and productivity.
Qualifications:
- Minimum of 7 years of experience as an Executive Assistant or similar role, preferably supporting C-level executives.
- Bachelor's degree or equivalent experience required.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Ability to handle sensitive information with discretion and confidentiality.
- Proven ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
- Excellent interpersonal skills and the ability to build relationships with diverse stakeholders.
