Position Overview:
As an Executive Assistant reporting directly to the CEO. You will play a pivotal role in supporting executive-level functions and ensuring seamless operations within a dynamic and patient-focused environment. Key Responsibilities:
Executive Support:
- Provide high-level administrative support to the CEO, including managing calendars, scheduling appointments, and coordinating meetings.
- Act as a primary point of contact between the CEO and internal/external stakeholders, exercising discretion and professionalism.
Communication and Correspondence:
- Draft, proofread, and edit various communications on behalf of the CEO, ensuring accuracy and adherence to organizational standards.
- Handle incoming communications, emails, and inquiries, prioritizing and responding as appropriate.
Meeting Coordination:
- Organize and coordinate executive meetings, conferences, and events, both on-site and off-site.
- Prepare meeting materials, agendas, and take minutes as necessary, ensuring smooth proceedings.
Information Management:
- Manage confidential and sensitive information with the utmost discretion.
- Maintain organized and up-to-date files, records, and databases related to executive functions.
Travel and Logistics:
- Arrange complex travel itineraries, accommodations, and logistics for the CEO.
- Ensure timely reimbursement and accurate record-keeping for all travel-related expenses.
Project Assistance:
- Assist in special projects and initiatives as directed by the CEO, contributing to the overall success of the organization.
Team Collaboration:
- Collaborate with other departments and executives to facilitate effective communication and workflow.
Qualifications:
- Bachelor’s degree preferred, with relevant experience in executive assistance.
- Proven experience supporting C-level executives, preferably in a healthcare setting.
- Exceptional organizational, multitasking, and time-management skills.
- Strong written and verbal communication skills, with a keen attention to detail.
- Proficient in MS Office suite and other relevant software applications.
- Ability to handle sensitive information with confidentiality and discretion.
- Positive and proactive attitude, with the ability to work independently and as part of a team.
