Position Overview:

As an Executive Assistant reporting directly to the CEO. You will play a pivotal role in supporting executive-level functions and ensuring seamless operations within a dynamic and patient-focused environment. This is a unique opportunity to contribute to the success and growth of a vital healthcare institution.

Key Responsibilities:

  1. Executive Support:

    • Provide high-level administrative support to the CEO, including managing calendars, scheduling appointments, and coordinating meetings.
    • Act as a primary point of contact between the CEO and internal/external stakeholders, exercising discretion and professionalism.
  2. Communication and Correspondence:

    • Draft, proofread, and edit various communications on behalf of the CEO, ensuring accuracy and adherence to organizational standards.
    • Handle incoming communications, emails, and inquiries, prioritizing and responding as appropriate.
  3. Meeting Coordination:

    • Organize and coordinate executive meetings, conferences, and events, both on-site and off-site.
    • Prepare meeting materials, agendas, and take minutes as necessary, ensuring smooth proceedings.
  4. Information Management:

    • Manage confidential and sensitive information with the utmost discretion.
    • Maintain organized and up-to-date files, records, and databases related to executive functions.
  5. Travel and Logistics:

    • Arrange complex travel itineraries, accommodations, and logistics for the CEO.
    • Ensure timely reimbursement and accurate record-keeping for all travel-related expenses.
  6. Project Assistance:

    • Assist in special projects and initiatives as directed by the CEO, contributing to the overall success of the organization.
  7. Team Collaboration:

    • Collaborate with other departments and executives to facilitate effective communication and workflow.

Qualifications:

  • Bachelor’s degree preferred, with relevant experience in executive assistance.
  • Proven experience supporting C-level executives, preferably in a healthcare setting.
  • Exceptional organizational, multitasking, and time-management skills.
  • Strong written and verbal communication skills, with a keen attention to detail.
  • Proficient in MS Office suite and other relevant software applications.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Positive and proactive attitude, with the ability to work independently and as part of a team.
