The Executive Assistant provides administrative support of a highly complex, confidential and responsible nature to the Sr. Executive Assistant. This position will also provide administrative assistance to the Chief Operations Officer (COO). This position interfaces with CEO, Commissioners and other high level internal/external contacts requiring considerable discretion and initiative, and provides backup support to Sr. Executive Assistant. This position is accountable for helping to ensure an effective, strategically focused and publicly credible Executive Office.
Primary Functions
  • Provides administrative support of a highly complex and responsible nature to the Sr. Executive Assistant, and back up support to the NWSA Managing Members; interfaces with high level internal/external contacts requiring considerable discretion and initiative.
  • Administrative Support for CEO, Deputy CEO, and COO including managing calendars; procuring related briefing information and/or materials; reconciling expenses; reviewing and approving department expenses and reimbursements; reviewing and approving timesheets for assigned departments; coordinating international and domestic travel.
  • Provides administrative support of a highly complex and responsible nature to the Chief Operations Officer. Anticipates needs of the COO based on an understanding of their goals and priorities. May research, prioritize and follow up on incoming issues and concerns to the COO. Under direction, gathers background information, prepares reports, and other tasks to allow the COO to respond effectively to arising situations. Prepares documentation for the COO, which may include material of a confidential nature.
  • Oversees, coordinates, and provides logistical support for local industry events and customer and stakeholder meetings, works with the Operations Team on delegation visits, prepares presentations, and takes minutes as assigned. Interfaces with NWSA customers and internal and external stakeholders regularly to accomplish team objectives. Ensures alignment with Operations Team on stakeholder engagement.
  • Coordinates with staff to prepare mailing of weekly packets to the Managing Members.
  • Provides backup support to the CEO and Managing Members and coordinates with Sr. Executive Assistant to ensure that the Executive Office always has proper coverage to meet the needs of the Executive Office, Managing Members and the NWSA. Will provide back up support to the Commission Clerk as needed.

Required Education & Experience
Bachelor's degree in business administration or a related field is required. An additional four (4) years of relevant experience may substitute for a bachelor's degree.
Two (2) years of professional level administrative experience, including experience in using personal computers, to include Windows, MS Office Suite, including Excel, PowerPoint, Outlook, Access, and SharePoint is required.
Must possess a professional demeanor both verbally and in appearance.
Additional Requirements
Must be able to work with tight deadlines, multi-task and be flexible in a fast-paced environment. Must demonstrate ability to exercise discretion and maintain confidentiality at all times. Must be professional and possess excellent relationship building, interpersonal, and public relations skills. Must be proficient with computer software programs including Microsoft Outlook, Word, Excel and PowerPoint. Must be skilled in coordinating travel both domestic and international. The incumbent must be highly professional, possess excellent verbal and written communication skills, detail oriented, and be a team player with a strong work ethic.

The successful candidate must possess (or obtain within 30 days of employment) a valid driver's license. Candidate must be able to successfully complete a background investigation. Candidate must also be able to obtain/maintain a Transportation Worker Identification Credential (TWIC), which is a program managed by the Department of Homeland Security (DHS).
